RedCircle is helping podcasters around the world to get paid for their work.  We’re on a mission to put more dollars in podcast creators’ pockets to help fuel their passion.  As the Executive Assistant to the company’s two founders, you’ll ensure they’re working as effectively as possible towards achieving that mission.

Your primary responsibilities will be to the company’s founder and CEO, Mike Kadin, but you’ll also work with co-founder and COO Jeremy Lermitte.  You’ll go beyond basic administrative work (calendars, travel, meeting follow up, etc), and partner directly with the company's leaders to help move important business priorities forward.  You’ll have opportunities to work on the company’s recruiting processes, you’ll own and execute the company’s annual whole-company retreats, and you’ll build internal processes that help the whole team function more efficiently and effectively. You’ll have opportunities to work with podcasting / media companies, well-known brands and ad agencies, influencers / content creators, and more.

Core Responsibilities
  • Provide day-to-day administrative support to the CEO and COO, including calendar management, travel coordination, and expense tracking.
  • Serve as a key partner to the CEO in organizing and managing his time, priorities, and external communications.
  • Prepare for and support key CEO meetings by managing agendas, taking detailed notes, tracking action items, and coordinating follow-ups.
  • Oversee light office management duties for our small Boston office, including supply coordination and basic facilities support.
  • Work on scheduling / coordinating recruiting processes for future executive-level hires at the company.
  • Assist in planning and executing company-wide events, including periodic team-building activities and the annual company retreat.
  • Support the CEO on key internal projects and processes such as performance reviews, trade show preparation, etc.

A great candidate has
  • At least a few years of experience providing administrative support to senior executives, ideally in a startup or fast-paced environment.
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and general comfort with modern productivity and collaboration tools (e.g., Slack, Google Meet, Notion, etc).
  • Very strong organizational skills with a sharp attention to detail, especially when managing complex projects and tasks.
  • Experience planning and executing internal events, team offsites, or company retreats.
  • Project management skills with the ability to track multiple ongoing projects, anticipate needs, and follow through on deadlines.
  • Discretion and professionalism when handling sensitive information and high-level communications.
  • A proactive mindset and the ability to work independently — you notice things before they’re said, and take action without needing to be asked.
  • Excellent written and verbal communication skills.
  • Strong business / technology / media understanding – deeply understanding the context of the meetings you attend will make you a stronger force multiplier for the CEO.
  • Ability to come into the RedCircle office in Boston (Downtown Crossing) most of the time.  Our team is hybrid, but is frequently in person, and the CEO spends most days in the office.

Compensation

RedCircle is committed to providing competitive compensation, equity, and benefits. Compensation for this role will be based on multiple factors such as location, the candidate’s experience, and the scope of the role, and may vary from the range provided below. The estimated base salary range for this role is $75,000-$120,000.
