About the Role: 

We are looking to add an Executive Assistant who is a highly skilled administrative professional and will directly supports senior executives, ensuring the efficient operation of their day-to-day activities. This role involves managing complex calendars, coordinating meetings and travel, preparing documents and presentations, and serving as a key point of contact between the executive and internal or external stakeholders. This person will need to be able to display discretion, strong organizational skills, attention to detail, and the ability to anticipate needs in a fast-paced environment. This person will be on site 3 to 4 days a week at our HQ office in Boston, MA.

Day to Day:

  • Manage complex calendars for C-suite executives, scheduling meetings, and arranging complex travel arrangements.
  • Prioritize and ensure the timely execution of tasks to ensure that executives' time is used efficiently.
  • Prepare meeting agendas and materials, take minutes, and follow up on action items.
  • Act as the first point of contact for internal and external communications, handling sensitive and confidential information with discretion.
  • Prepare and submit expense reports in a timely and accurate manner.
  • Maintain confidential and sensitive information in line with company policies and procedures.
  • Screen and manage emails and other communications, addressing inquiries and routing messages or responding appropriately as needed.
  • Draft, review, and proofread emails, memos, and other documents on behalf of the executives as needed.
  • Coordinate communications with board members, stakeholders, clients, and other high-level contacts.
  • Arrange complex travel itineraries, including flights, hotel accommodations, and ground transportation. Ensure executives are well-prepared for business trips.
  • Organize and coordinate logistics for meetings, conferences, and company events, ensuring all details are attended to, including catering, audiovisual requirements, and room setup.
  • Manage all communication with attendees for events and conferences, including invites, travel dates, hotel options, and agendas.
  • Help manage special projects, including coordinating cross-functional team efforts and ensuring timely meeting of deadlines.
  • Maintain executive files, documents, and records in an organized and easily accessible manner in G-suite.
  • Handle confidential and sensitive information with the utmost professionalism and discretion.
  • Ensure privacy and confidentiality regarding strategic decisions, personnel issues, and other sensitive matters.

What you bring to the table:

  • Proven experience as an executive assistant or in a similar role supporting senior-level executives.
  • Exceptional organizational and time-management skills, with a strong ability to prioritize tasks and manage multiple responsibilities.
  • Excellent written and verbal communication skills, with the ability to craft clear, concise, and professional correspondence.
  • Proficient in Google Suite, Slack, and Zoom.
  • Strong attention to detail and accuracy in all aspects of work.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Strong interpersonal skills with the ability to interact with individuals at all organizational levels.
  • Bachelor’s degree or equivalent experience is preferred.

Pay range for this position is $60,000 - $90,000 but may vary depending on job-related knowledge, skills, experience and location.
