We are seeking a highly capable, organized, and adaptable Executive Assistant to join the CEO Office and support our CEO in leading a high-growth, global technology company. OutSystems is at the forefront of transforming how enterprise software is built — and with our growing investments in AI, the pace of change and opportunity has never been greater.

This role is critical to enabling the CEO’s focus on strategic priorities through seamless calendar management, meeting coordination, travel planning, and operational execution. As a core member of the CEO Office team, the Executive Assistant will work closely with the Chief of Staff and other senior leaders to ensure alignment, drive efficiency, and provide proactive support across key initiatives.

Key Responsibilities

  • Executive Operations & Strategic Support

  • Manage a dynamic, high-volume calendar across global time zones.

  • Schedule and coordinate internal and external meetings, briefings, and leadership events.

  • Prepare agendas, briefing documents, and follow-up materials to ensure the CEO is always one step ahead.

  • Support execution of key initiatives and coordinate with cross-functional stakeholders as needed.

Travel & Logistics Management

  • Organize complex domestic and international travel, including flights, accommodations, visas, and itineraries.

  • Ensure smooth travel execution and troubleshoot real-time issues.

  • Occasional travel may be required.

  • Stakeholder Engagement

  • Act as a point of contact between the CEO and internal/external stakeholders, including executive leaders, customers, and partners.

  • Maintain professional, responsive communication with high discretion and reliability.

  • Build strong working relationships across global offices and time zones.

Project & Operational Support

  • Support ad hoc strategic and operational projects led by the CEO or CEO Office.

  • Maintain documentation, track action items, and help drive execution across departments.

Qualifications

  • Bachelor’s degree required; business, communications, or related field preferred.

  • 5+ years supporting senior executives in high-growth, global, or technology-driven companies.

  • Excellent communication and interpersonal skills; professional, composed, and detail-oriented.

  • High degree of discretion and judgment in handling sensitive information.

  • Expert-level proficiency with productivity tools (Google Workspace, Slack, Zoom, etc.).

  • Exceptional organizational and time management skills, with the ability to manage competing priorities.

  • Flexible schedule to support a globally distributed executive.

  • Additional languages are a plus.
