Location: Boston Seaport — Hybrid, three days onsite
Reports to: Senior Vice President, Customer Success
Also supports: Senior Vice President, Business and Corporate Development

Role overview

Nasuni is seeking an Executive Administrator to partner with two senior vice presidents leading Customer Success and Business and Corporate Development. You will create the structure, preparation, and follow-through that allow both leaders to focus on customers, strategic partnerships, transactions, and company growth.

This role operates across two distinct executive rhythms. Customer Success includes a structured operating cadence of customer priorities, leadership meetings, QBRs, and team commitments. Business and Corporate Development can be more deal-driven and unpredictable, including strategic technology partnerships, M&A activity, board preparation, executive meetings with external parties, and highly confidential materials.

Success requires someone who can move comfortably between both environments—anticipating needs, protecting executive time, exercising discretion, and remaining calm when priorities change quickly. This is not a purely reactive scheduling role; it requires judgment, prioritization, polished communication, confidentiality, and independent ownership.

Level and scope

You will independently manage the operating rhythm for two senior executives working across multiple time zones. You will resolve routine scheduling and logistics tradeoffs, recommend priority changes, coordinate sensitive executive activity, and recognize when an issue requires executive judgment.

The role is execution-led, with meaningful influence over how leadership time, information, meetings, relationships, and commitments are organized.

Responsibilities
  • Own complex calendars for two senior executives, resolving conflicts based on business priority, stakeholder impact, time zones, confidentiality, and preparation requirements.
  • Coordinate domestic and international travel, including detailed itineraries, contingencies, external meetings, and last-minute changes.
  • Prepare agendas, briefings, presentations, meeting materials, and executive communications so leaders enter meetings with accurate context and clear priorities.
  • Support leadership meetings, QBRs, offsites, customer and partner engagements, board-related preparation, and other high-visibility executive activities.
  • Provide administrative coordination for Business and Corporate Development activity, including strategic partnerships and transaction-related workflows, while maintaining appropriate confidentiality and discretion.
  • Coordinate executive interactions with senior external stakeholders, including strategic technology partners, investors, advisors, customers, and other business partners.
  • Capture decisions, maintain action tracking, and drive follow-through across multiple concurrent priorities.
  • Manage expenses, purchase orders, budget tracking, and vendor coordination.
  • Serve as a trusted liaison across Customer Success, Sales, Alliances, Product, Finance, Legal, People, and workplace teams.
  • Partner closely with other Executive Administrators to coordinate leadership schedules, company priorities, and high-visibility events.
  • Use approved AI and automation tools for preparation, drafting, research, action tracking, and workflow improvement while validating outputs and protecting confidential information.
Expected outcomes and impact

Executive calendars consistently reflect the highest-value customer, partner, transaction, and company priorities. Meetings and travel are accurate, well prepared, and resilient to change. Sensitive information is handled with sound judgment. Leadership events and external engagements run smoothly, commitments are completed, and stakeholders receive responsive, trusted support across locations and time zones.

Qualifications

Must-have

  • Five or more years of administrative or executive support experience, including at least three years directly supporting VP-level or senior leaders.
  • Independent ownership of complex calendaring, executive travel, meeting preparation, expenses, and confidential information.
  • Demonstrated ability to manage competing priorities and rapidly changing executive needs without losing accuracy or follow-through.
  • Experience interacting professionally with senior internal and external stakeholders.
  • Strong writing and presentation-formatting skills and proficiency with Microsoft Outlook, PowerPoint, Word, Excel, Teams, or comparable tools.
  • Sound judgment, discretion, close attention to detail, and the ability to act effectively without complete information.
  • Practical experience using AI or workflow automation to improve work while applying appropriate validation, privacy, confidentiality, and human review.
  • Ability to work from Boston Seaport three days per week and periodically coordinate across Eastern and Pacific time zones.

Preferred

  • Experience supporting multiple senior executives or an executive leadership team member.
  • Experience supporting Business Development, Corporate Development, Customer Success, partnerships, or other external-facing executive functions.
  • Exposure to M&A, board preparation, strategic transactions, investor activity, or high-stakes partnership processes.
  • Experience in a high-growth SaaS, cloud, cybersecurity, enterprise technology, or private-equity-backed company.
  • Experience supporting executive relationships with hyperscalers, strategic technology partners, investors, advisors, or comparable external organizations.
  • Experience with QBRs, offsites, customer meetings, partner events, Concur, Teampay, Brex, or comparable platforms.

Ideal

  • Successfully supported two executives whose operating rhythms and priorities differed significantly.
  • Built repeatable executive-support workflows that improved preparation, responsiveness, confidentiality, or follow-through.
  • Supported confidential corporate-development, transaction, board, investor, or strategic-partnership activity.
  • Demonstrated calm, highly accurate execution during unexpected changes, sensitive situations, or competing executive demands.
Experience guidelines

A typical candidate brings five to eight years of relevant experience, including three or more years supporting senior executives. Comparable scope, autonomy, judgment, confidentiality, and demonstrated results matter more than an exact year count.
