Job Description

About You:

About the Role: 

Reporting to the COO & Technology Translation Director, you will design and deliver engaging, high-impact events that highlight the Institutes' research, innovation and collaborative culture. You will manage the full lifecycle of Institute events, from strategic planning and budgeting to marketing logistics and execution

What You'll Do: 

  • Manage and executes Wyss Institute Events. Oversees all event-related details including schedule planning, accommodations, on-site staffing, travel, transportation, parking, registration, catering, audio-visual and other technical requirements associated with Institute events.
  • Collaborates with the Wyss Executive team, researchers, faculty and the wider Wyss community to develop the long-term vision of Wyss Institute events, bringing innovation and efficiency to events as well as new initiatives.
  • Formulates an academic year calendar of events ensuring that it supports the overall mission of promoting current research endeavors and strategic engagement initiatives. Provides executive leadership with event feedback and identifies areas of improvement.
  • Creates and adheres to event budgets and timelines; collaborates with the Finance team to track and analyze spending in order to create budgetary forecasts.
  • Researches and negotiates with hotels, airlines, and other vendors for discounting rates while adhering to Harvard University's financial travel and sponsored research policies; manages material contracts and agreements with vendors.
  • Develops marketing strategies and communications to promote Institute events and ensures event material are updated. Promotes and publicizes events through email, printed mailings, posters, and/or other appropriate venues.
  • Contributes to enhancing the work culture by participating in cross-functional teams to brainstorm ideas and assist with execution

Qualifications

What You'll Need:

  • Bachelors degree required in Communications, Social Sciences or related field. A minimum of 5 years of experience in planning, managing and executing events required . 

Desirable Skills: 

  • Experience in an academic setting working with multiple stakeholders preferred.
  • Strong organizational skills, creativity, motivation and oral and written skills are required.
  • Ability to plan and manage multiple projects with various stakeholders simultaneously is a must.
  • Ability to perform independently as well as to collaborate with others is critical.
  • Ability to provide superior client service to all levels of the organization with diplomacy, tack, and confidence is required.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

Salary Grade and Ranges
