Why this role matters:

AnswersNow is looking for an analytical, strategic, and executive-minded Director of Forecast and Scheduling to build, lead, and optimize the operational engine behind our national clinician network. Sitting at the critical intersection of commercial growth and clinical delivery, you will own the capacity planning strategy that translates rapid demand into predictive, rock-solid clinician staffing models.

This is a high-impact leadership role requiring a master of workforce data who can build repeatable playbooks for state expansions, protect operational gross margins, and seamlessly align clinician capacity with complex insurance credentialing and revenue cycle timelines.

Job Requirements

  • Bachelor’s degree in Business, Analytics, Operations, Statistics, Healthcare Administration, Mathematics, or a related field; advanced degree preferred but not required

  • 6+ years of experience in workforce planning, forecasting, scheduling, capacity planning, operations analytics, or a related function; 2+ years of people leadership preferred. Director-level WFM and provider-capacity postings generally call for substantial experience, often 5–10+ years, including leadership

  • Strong experience building forecasting models, staffing plans, and schedules using historical trends, productivity assumptions, and projected demand

  • Strong analytical skills with the ability to interpret complex data, identify drivers, and turn analysis into operational recommendations. Comparable analyst and manager roles emphasize quantitative analysis, trend interpretation, and actionable recommendations

  • Experience with capacity planning, utilization analysis, coverage modeling, and schedule optimization

  • Advanced proficiency in Excel or Google Sheets; experience with BI/reporting tools and planning systems strongly preferred. Comparable roles commonly cite Excel, SQL, WFM platforms, and analytics tooling

  • Strong project management skills and the ability to lead cross-functional initiatives in a fast-paced environment

  • Strong communication and stakeholder-management skills, including the ability to present findings and recommendations to senior leadership

  • Experience in healthcare, telehealth, contact center, client operations, or other service-delivery environments with variable demand strongly preferred

  • Demonstrated ability to balance business performance with client experience and clinician experience.

What You’ll Do

  • Own forecasting strategy for clinical capacity by translating Marketing and Partnerships demand projections into BCBA headcount

  • Lead workforce planning and staffing models to ensure the right clinician capacity is in place to support assessments, client pairing, and ongoing service delivery

  • Oversee Forecasting and Scheduling Analysts responsible for assessment scheduling and BCBA-to-client matching, ensuring coverage, efficiency, and strong operational execution

  • Partner cross-functionally with Marketing, Partnerships, Clinical, and Operations leaders to align demand forecasts, capacity plans, and scheduling priorities with growth targets

  • Build reporting, processes, and planning rigor to improve forecast accuracy, optimize utilization, and proactively identify capacity risks, gaps, and scaling needs

Success Indicators:

  • Forecast accuracy (demand vs. required BCBA capacity): Measures how accurately projected Marketing and Partnerships demand translates into assessment volume, active caseload demand, and BCBA headcount requirements.

  • Time from intake/assessment readiness to BCBA placement: Tracks how quickly families are matched to an appropriate BCBA after entering the funnel, aligned to AnswersNow’s speed-to-care promise.

  • Assessment scheduling fill rate: Measures the percentage of available assessment slots filled each week, showing whether scheduling operations are converting forecasted demand into completed appointments.

  • BCBA capacity utilization: Tracks whether clinician supply is being deployed effectively against expected caseload norms, especially given AnswersNow’s published full-time caseload and therapy-hour expectations.

  • Client-to-BCBA match success / rematch rate: Measures how often initial pairings stick without reassignment, which is especially important in AnswersNow’s dedicated-clinician, family-centered model.
