Job Description

Role Overview 

We’re hiring a detail-obsessed, execution-focused Media Stewardship & Trafficking Specialist to ensure our campaigns launch on time, error-free, and compliant across paid, owned, and retail media channels. In a large, matrixed CPG environment, this role is essential for keeping work moving through the system—managing timelines, trafficking assets, tracking approvals, and ensuring proper usage rights—so brand and media teams can focus on strategy and performance. 

This role sits within a centralized marketing operations function or in-house agency team and acts as the operational backbone of campaign delivery: organized, proactive, and calm under pressure. 

 

Key Responsibilities 

Media Trafficking & Launch Execution 

  • Traffic creative assets and campaign details across paid, owned, and retail media channels in partnership with internal media teams and external agencies. 

  • Coordinate handoffs to ad ops / platform teams; validate that files, specs, naming conventions, tags, and destinations are correct prior to launch. 

  • Support launch readiness by confirming placements, formats, deadlines, and deliverables are fully met. 

Timeline, Deliverables & Dependency Management 

  • Own day-to-day campaign timelines across creative and media workstreams; maintain a clear view of dependencies and critical path items. 

  • Drive follow-ups, keep stakeholders aligned, and proactively unblock work to protect launch dates. 

  • Run stewardship check-ins as needed to ensure approvals, specs, and assets are progressing against plan. 

Usage Rights, Compliance & Risk Mitigation 

  • Manage asset usage rights: documentation, expiration tracking, renewals, and compliance requirements across talent, music, photography, and licensed content. 

  • Ensure creative and media deliverables meet internal governance standards (e.g., disclosures, claims support, brand/legal requirements) by coordinating with Legal, Regulatory, and Brand teams. 

  • Flag risks early (rights, missing approvals, spec issues, timing gaps) and drive resolution with urgency and strong judgment. 

Cross-Functional Coordination 

  • Partner closely with Brand Marketing, Media, Creative, Legal/Regulatory, Procurement, Customer Care (as needed), and agency partners to ensure smooth execution. 

  • Serve as the “single source of truth” for trafficking status, due dates, and readiness across assigned brands/campaigns. 

  • Coordinate vendor needs (as applicable) including SOW timing, PO status, and deliverable acceptance checkpoints. 

Documentation & Systems of Record 

  • Maintain accurate trackers and systems of record for:  

  • creative versions, specs, and final files 

  • trafficking confirmations and launch checklists 

  • usage rights/expiration dates and approvals history 

  • key dates, changes, and decisions 

  • Create and continuously improve playbooks, checklists, and standardized workflows to increase speed and reduce errors. 

Job Qualifications

Required Skills & Experience 

  • 2–5+ years of relevant experience in media operations, ad operations, trafficking, campaign operations, creative operations, or campaign stewardship (agency or in-house). 

  • Demonstrated ability to manage multiple workstreams and tight deadlines in a fast-paced environment. 

  • Exceptional attention to detail, organization, and follow-through—known for catching issues before they ship. 

  • Strong communication skills (written and verbal) with the ability to drive clarity across many stakeholders. 

  • Comfort working in enterprise processes: approvals, governance, documentation, and cross-functional handoffs. 

 

Nice-to-Have 

  • Experience in CPG, retail, or a large enterprise marketing environment. 

  • Familiarity with ad servers and platforms (examples: CM360, The Trade Desk, Meta, TikTok, Google Ads, YouTube), retail media ecosystems, and/or trafficking workflows. 

  • Experience with DAM/asset management and project management tools (examples: Bynder, AEM, Workfront, Jira, Asana, Smartsheet). 

  • Exposure to eCommerce and retail media campaign execution (Amazon, Walmart Connect, Instacart, Kroger, Target Roundel, etc.). 

  • Understanding of usage rights for talent/music/licensed content and how it impacts channel distribution.
