AA&D is comprised of the Faculty of Arts and Sciences (FAS) Development, Communications, Events & Donor Relations, University Development and Advancement Solutions, the Harvard Alumni Association (HAA), and AA&D Administration.

Job Description

As a member of the Business Process & Operations team this position will support the infrastructure of Alumni Affairs and Development by providing ongoing user support and training and maintaining current business practices.  This position supports the day-to-day functions of assigned departments and/or units. 

Job-Specific Responsibilities:

  • Support day-to-day business process functions and respond to staff requests for the assigned departments and/or units. 
  • Assist Business Process Manager and Business Process Analyst with the development, testing, and marketing of reporting applications and other technologies. 
  • Train staff on Advance policies and procedures as well as all reporting applications. 
  • In conjunction with the Business Process Manager and Business Process Analyst, coordinates the fulfillment of ad-hoc data requests from assigned departments and/or units. 
  • Assists in the creation, implementation and evaluation of training plans and materials. 
  • Prepares and maintains data for use in selected projects.
  • Oversees requests from staff for mass uploading of data (proposals, assignments, mailing lists, tasks, contact reports, etc.). 
  • Conducts regular data audits of Advance data and communicates best practices to staff as needed. 
  • May be responsible for overseeing the work of students and interns employed by the Business Process & Operations team. 
  • Maintain assigned projects and tasks in work management system.

Qualifications

Basic Qualifications:

  • Minimum of 2 years full-time work experience in university fundraising or transferable experience.  Proficiency with the Microsoft Office 365 product suite.
  • You will be expected to work certain events/campus activities, such as reunions each Spring, and participate in department retreats that are taking place on campus in Cambridge, MA.

Additional Qualifications and Skills:

  • Must exhibit excellent attention to detail and produce clear documentation.  
  • Must be motivated to learn, flexible to change, and innovative.
  • Excellent public speaking and presentation skills and written communication skills required.
  • Must be creative and proactive yet disciplined, discriminating, and able to streamline work volume to maintain bottom-line efforts amid multi-tasking and daily re-prioritizing with the director’s guidance.
  • Must have excellent organizational skills.
  • Experience with SQL, Toad, ADVANCE, Qlikview, and other CRM and Business Intelligence technologies is desirable.
  • Minimal travel required, conferences, retreats, or peer meetings. Some evening and weekend work is required.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
