The Administrative Data Coordinator serves as the centralized point person responsible for maintaining accurate, consistent, and organized data across multiple company systems, with Microsoft Dynamics serving as the primary platform initially.
This role focuses heavily on data entry, data maintenance, QA/QC and data integrity, for the organization as a whole. The individual will work closely with departments across the company to ensure data is entered consistently, maintained accurately, and accessible for reporting and operational needs.
In addition, this position will help identify duplicate processes, inefficiencies in data entry and data management workflows, and opportunities to streamline and improve organizational processes.
What You’ll Do:
- Maintain, update, and validate data across multiple company databases and systems, including Microsoft Dynamics
- Perform routine QA/QC audits and quality checks to ensure data accuracy, consistency, and completeness
- Identify, investigate, and resolve data discrepancies, duplicate records, and data integrity issues.
- Assist with development and documentation of data entry procedures, standards, and best practices.
- Maintain standardized naming conventions, coding structures, and data governance requirements.
- Support company-wide efforts to improve data accuracy and reliability.
- Serve as the primary point of contact for organization-wide data entry needs.
- Assist with development and documentation of data entry procedures, standards, and best practices
- Recommend process improvements that increase efficiency, reduce manual work, and improve data quality.
- Work collaboratively with departments across the organization to maintain data standards and consistency
- Develop and maintain data entry procedures, process documentation, and user guides. Support implementation and adoption of improved data management processes and workflows
What You’ll Bring:
- Associate’s degree or experience in Business, Information Systems, Data Management, Administrative Support, or related field preferred
- 2+ years of experience in data management, database administration, systems support, administrative operations, or related experience
- Experience working with CRM or ERP systems preferred, particularly Microsoft Dynamics
- Strong attention to detail and organizational skills
- Ability to manage large amounts of information with a high level of accuracy
- Strong problem-solving and process improvement mindset
- Proficiency in Microsoft Office Suite
- Strong communication and interpersonal skills with the ability to work across multiple departments
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment
- Experience supporting organization-wide databases or operational systems
- Familiarity with process improvement initiatives or workflow optimization
- Experience within the architecture, engineering, consulting, or professional services industry is a plus
