Provides executive and administrative support for the Corporate Development team, including calendar management, meeting coordination, travel arrangements, expense processing, event logistics, document preparation, recordkeeping, and special projects. Partners with executive assistants and stakeholders to align priorities, manage confidential information, and improve operational efficiency in a fast-paced, in-person environment.
Working in close partnership with the Chief Corporate Development Officer’s Executive Assistant, this role helps ensure seamless coordination across leadership schedules, meetings, and priorities. The ideal candidate is highly organized, proactive, and comfortable operating in a fast-paced, confidential, and executive-facing environment. This is an in-person role at our office in Sunnyvale, CA.
Responsibilities- Manage executive calendars, schedule meetings across time zones, and resolve conflicts.
- Coordinate with stakeholders and Executive Assistants to align priorities and communications.
- Arrange domestic/international travel, prepare itineraries, and provide travel support.
- Handle expenses, meeting logistics, offsites, and team events.
- Prepare documents, conduct basic research, and maintain organized records.
- Support special projects and administrative initiatives.
- Serve as a key contact for internal and external stakeholders while handling confidential information with professionalism and discretion.
You have:
- 2-3 years of executive/administrative support experience in a corporate environment, preferably global and multi-time-zone.
- Strong expertise in calendar management, travel coordination, expense management, and executive support.
- Excellent organizational, communication, and multitasking skills with keen attention to detail.
- Proficient in Microsoft Office, Teams, Concur, and AI tools.
- Proactive, customer-focused, and adaptable, with the ability to manage competing priorities.
- Professional, collaborative, and comfortable supporting senior leaders and handling confidential information.
- Success is measured by seamless calendar, travel, and meeting management, strong partnerships with key stakeholders, and improved operational efficiency across the Corporate Development team.
