Executive Assistant

The People Ops embodies this work by tackling the issues our employees encounter with a bird’s eye view--one that is specifically tasked with identifying organizational gaps and opportunities and can build the strategy to take action.
As an Executive Assistant on the People Ops team at Wistia, you enable the success of members of our leadership team through organization, coordination and administrative support. Your role will be critical to hitting company-wide goals, and building an incredible place to work. You must be comfortable with ambiguity, able to work autonomously, and be a proactive problem solver. We are looking for someone who can make the team better with their motivation, creativity, organization, and positive attitude. Additionally, you will help the People Ops team create a work environment that embodies the innovative culture Wistia prides itself on.
What you'll work on:
Primary:
- Manage calendars of our executive team
- Facilitate team connectivity through event management: research and select venues as needed, manage external vendors, coordinate and execute logistics. Events include: regular team leadership meetings and retreats
- Coordinate schedule, travel, expense reporting, and logistics for executive team
- Anticipate needs and proactively troubleshoot a wide range of issues to help the executive team maximize productivity
- Manage relationships with a variety of external vendors for team needs
Secondary:
- Lead and collaborate on special projects, including team-building initiatives, employee recognition programs, team swag, company-wide-hack-a-thons, new office space search, etc.
- Collaborate with broader network of People Ops on company initiatives, like facilitation and execution of employee engagement events (Happy Hours, company meetings), new employee onboarding, and making the Wistia office the best place it can be

- Exceptional administrative support and organization of the executive leadership team
- Running successful projects, and events, and meetings
- Your advocacy and contributions for improvements to the Wistia employee experience

What we're looking for:
- Proven track record of success providing administrative support or coordination in a lean, entrepreneurial organization
- Remarkable drive and a passion for achieving success in a high-growth environment
- Ability to effectively prioritize and manage the needs of multiple stakeholders
- Exceptional written and oral communication skills
- Comfortable with ever-changing technology; proficiency in Google Apps
