📣 Role Summary

Topline Pro is hiring a Workplace Experience Coordinator to own our in-office experience. This is a P1 role, you'll be the dedicated owner of workplace operations and cultures across our NYC, Boston, and soon Nashville offices. You'll report to our Head of People.

We're an in-office company by design, and we credit a lot of our growth to that. This role exists to make sure that in-person experience is thoughtful, well-run, and genuinely enjoyable, not just logistics for logistics' sake. This is also a great opportunity for someone early in their career, you'll get exposure to a wide range of People and operations work and learn a ton in a
fast-moving environment.

⚡ What you'll do

Office Operations

  • Own daily office operations across NYC, Boston, and Nashville, managing supplies, snacks, mail, tech equipment, and space upkeep so every location runs seamlessly and reflects our culture of excellence

  • Own vendor coordination and office logistics, proactively identifying opportunities to improve the in-office experience

  • Create and improve internal workplace processes, building scalable systems that keep the office organized, functional, and future-ready as the team grows

Culture & Employee Experience

  • Plan and execute culture-driving events, leading the organization of team celebrations, birthdays, and in-office moments that strengthen community and bring joy to the everyday

  • Support the admin side of onboarding, preparing desks, tech, and welcome kits for new hires so Day 1 runs smoothly

  • Be the face of the office and our in-office experience, based in Brooklyn 5 days a week as the first person visitors, candidates, and employees turn to

Travel & Logistics

  • Coordinate cross-office travel for team members moving between NYC, Boston, and Nashville, including transportation and scheduling support

🎯 What we're looking for

  • 0-2 years of experience in workplace operations, HR, office coordination, hospitality, or event planning

  • Highly organized and action-oriented, you love a checklist and bring structure to chaos

  • Warm, approachable, and service-minded, you're someone others rely on to make things happen

  • Comfortable working autonomously while balancing multiple priorities

  • Familiar with tools like Google Workspace, Slack, Notion, or excited to learn
