What You’ll Do
We are seeking a highly motivated, dynamic, Workplace Experience Coordinator to join our People team in Boston, Massachusetts . This person will be responsible for the day to day operation, facilities management and administration for our Boston Headquarters. This role requires exceptional customer service and extensive communication, project coordination, organizational, and collaborative skills.  This position is expected to be on site full time (5 days a week) in our Boston, Massachusetts office. 
Primary responsibilities include:

  • Help us create a great first impression by maintaining a clean and organized office appearance, greeting guests and employees, and directing visitors.
  • Manage SimpliSafe’s visitor list in accordance with our visitor guideline process.
  • Ensure a well-functioning front desk by following guidelines and systems that allow for greater focus on hospitality and efficiency.
  • Monitor security protocols including the WEx ticketing system to ensure the safety of our workplace.
  • Support the overall maintenance and functionality of the office environment.
  • Order and maintain an inventory of office supplies and equipment including café supplies.
  • Act as a point of contact for basic facilities related inquiries and quickly address any issues as they arise.
  • Conduct regular walk throughs of the office to identify and address maintenance needs.
  • Coordinate the setup and breakdown of meeting rooms and event spaces as necessary.
  • Collaborate on the execution, set up break down of location events as needed.
  • Manage incoming and outgoing mail and packages and maintain mailroom efficiency.
  • Assist with weekly catered lunches as needed, including setup and cleanup.
  • Act as a point of contact for subtenants to maintain building safety standards.
  • Process invoices for payment in a timely and accurate manner.
  • Collaborate with onsite IT support as necessary for events and day-to-day operational needs.
  • Provide administrative and/or logistical support for teams when necessary.
  • Serve as the liaison for employees by communicating their requests, needs and feedback to the WEx team.
  • Partner with the Workplace Experience Team to plan and execute special projects and operational needs.

  • Ability to be 100% onsite
  • Experience in office administration, facilities coordination or similar preferred
  • Excellent communication and interpersonal skills
  • Ability to handle confidential information with discretion
  • Excellent planning, organizational, and time management skills
  • Proficiency with Microsoft Office Suite and Google Workplace
  • Professional demeanor and enthusiasm about creating a positive work environment
  • Strong problem solving skills
  • Ability to thrive in a fast paced environment
