Job Description Summary

The position is responsible for managing and overseeing all tax and tax‑compliance activities that may impact the University’s tax status or liability. This role ensures the accurate calculation, reporting, reconciliation, and remittance of all applicable federal, state, and local taxes. It also involves interpreting and adhering to relevant Federal, State, and University policies and regulations to maintain full compliance.
The position works closely with Payroll, Human Resources, Finance, and Benefits to ensure proper tax treatment of wages, deductions, and benefits for a diverse employee population, including faculty, staff, and student workers. Responsibilities include performing detailed reconciliations to ensure accuracy and supporting quarterly and year‑end processes, including W‑2 reporting, sales and use tax, international taxes, foreign‑source reporting, and unrelated business income taxes.
Additionally, the role provides guidance on a variety of tax issues, including executive compensation, endowment spending, Resident FICA claims, and bond compliance. The position also administers the Employee Performance Management System (EPMS) for assigned staff, delivers cross‑departmental training, and supports operational continuity through cross‑training and other duties as needed.

Job Description

The Tax Supervisor is responsible for overseeing all tax-related operations for the University, ensuring compliance with federal, state, and institutional regulations across payroll, financial, and regulatory reporting functions. This role serves as the primary subject matter expert on tax compliance, providing leadership, guidance, and oversight for payroll tax, institutional tax reporting, and complex tax-related transactions.

The Tax Supervisor manages and monitors payroll tax activities, including processing tax adjustments (such as international and student FICA corrections), reviewing liability accounts, and ensuring accurate tax calculations and timely remittance of all federal and state payroll taxes. This role oversees reconciliations between payroll and the general ledger, prepares and reviews journal entries, and ensures timely and accurate completion of monthly, quarterly, and year-end tax reporting.

In addition to payroll tax responsibilities, the Tax Supervisor ensures compliance with federal reporting requirements, including Section 117 foreign source reporting, by compiling, reviewing, and submitting required reports to the Department of Education. The position also provides oversight and guidance on complex tax matters such as employee reimbursements (moving and tuition), international taxation, executive compensation, Affordable Care Act compliance, and other institutional tax obligations.

The role leads tax compliance efforts by establishing and maintaining strong internal controls, responding to tax notices and audits, coordinating with external agencies, and ensuring accurate and timely filing of all required tax returns, including quarterly payroll tax filings. The Tax Supervisor interprets and implements regulatory changes, ensures proper system configuration within Workday, and drives process improvements to enhance accuracy and efficiency.

This position supervises and develops assigned staff, including workload coordination, performance management, and training, while fostering a high-performing, service-oriented team. The Tax Supervisor collaborates with Payroll, Human Resources, Finance, and other departments to resolve complex issues, provide guidance, and support institutional goals.

Minimum Requirements:

Education: Bachelor’s degree in Accounting, Finance, or related field
Experience: 5–7 years in tax, payroll, or accounting, with supervisory experience
Knowledge: Payroll tax compliance, federal/state regulations, and financial reporting.
Systems: Experience with ERP systems (Workday preferred) and strong Excel skills.
Skills: Analytical, detail-oriented, and able to interpret complex regulations.
Leadership: Ability to supervise staff and support process improvements.
