Our Talent Acquisition Team is looking to add a full-time Coordinator to support the team in the coordination of all aspects of the pre-employment and onboarding functions including scheduling interviews, background check submittals, drug test coordination, upkeep of personnel files, and onboarding into our HRIS system. ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist recruiters with scheduling panel interviews, sourcing candidates, and preparing for hiring events.
- Administer the full pre-employment process for offered candidates, including scheduling and preparing all required pre-employment and new hire documentation.
- Maintain recruitment and onboarding data to ensure accurate, compliant, and timely management of applicant records, background screenings, drug testing, payroll submissions, and I-9 documentation.
- Review background check and drug screening results and escalate issues as necessary.
- Schedule and conduct new hire onboarding and assist with coordinating the conversion of temporary employees to permanent roles.
- Support recruitment marketing initiatives by assisting with employer branding efforts, including social media content and recruiting collateral.
- Coordinate and process temporary employee requests, status changes, and terminations in collaboration with cross-functional teams.
- Maintain and update user access and permissions within the applicant tracking system to ensure data integrity, security, and compliance.
- Coordinate and distribute recruitment, onboarding, and employee engagement surveys; track responses and assist with reporting as needed.
- Support Talent Advisors with data entry, document management, interview scheduling, and audit preparation to ensure SQF compliance.
- Prepare and maintain employee records in compliance with applicable legal and regulatory requirements.
- Maintain a centralized repository of HR forms, handbooks, policies, and employee-facing documents.
- Perform other related administrative and recruiting support duties as assigned to support overall talent acquisition operations.
EDUCATION AND/OR EXPERIENCE:
- High school diploma or equivalent required; associate degree or higher preferred.
- Fluency in English required; bilingual skills in Portuguese, Spanish, or Haitian Creole preferred.
- Minimum of two (2) years of progressively responsible administrative, recruiting coordination, or HR support experience required.
- Experience supporting recruitment, onboarding, or pre-employment processes preferred.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint required.
- Experience working with applicant tracking systems (ATS) or HR information systems preferred.
- Ability to work under general supervision while managing multiple priorities and deadlines.
- Strong attention to detail and follow-through with excellent organizational, analytical, and problem-solving skills.
- Strong communication skills and ability to cultivate a collaborative team environment
- Ability to handle sensitive and confidential information with discretion and professionalism.

- This position is primarily sedentary and requires the ability to sit for extended periods, work at a computer, and communicate effectively via phone, video conferencing, and email.
- Occasional travel to company locations, job sites, or hiring events may be required.
- Must comply with all applicable workplace safety standards and regulations while working on-site or visiting company facilities.
- Ability to work remotely as assigned, including maintaining reliable high-speed internet access, a secure and productive home workspace, and availability during core business hours.
- Must be able to effectively use collaboration and communication tools (e.g., email, video conferencing platforms, applicant tracking systems) to remain connected and responsive while working remotely.
Location: This opportunity will be based in our Manufacturing facility in Norwood, MA.
Schedule: Monday – Friday 9:00 am – 5:00 am
Pay rate: $60,000 - $70,000
