Join our team and make a positive impact on the lives of others! We are looking for a State Adherence Specialist I for our team in Pennsylvania.

This is a remote position.

Department & Position Overview:

The State Adherence Specialist I is responsible for maintaining continuous regulatory compliance across FreedomCare's active patient and caregiver population. This role owns the ongoing compliance of assigned cases throughout the Pre-Care and On-Care lifecycle by ensuring enrollment documentation, onboarding activities, and ongoing regulatory requirements remain complete, accurate, and compliant with Department of Health (DOH), Department of Labor (DOL), federal, state, payer, program, and company requirements.

Rather than functioning as a one-time quality checkpoint, the State Adherence Specialist I helps maintain FreedomCare's continuous state of audit readiness by proactively identifying compliance risks, partnering with Operations to resolve documentation deficiencies, and ensuring every assigned case remains compliant throughout the duration of care.

Using established procedures, regulatory guidance, and standardized workflows, this individual maintains accurate, audit-ready documentation while exercising sound judgment, attention to detail, and a commitment to operational excellence.

Every Day You Will:

  • Own the ongoing compliance of assigned patient and caregiver cases throughout the Pre-Care and On-Care lifecycle.
  • Review, validate, and maintain enrollment documentation to ensure compliance with DOH, DOL, federal, state, payer, and company requirements.
  • Verify caregiver eligibility requirements, including criminal background checks, FBI fingerprinting (where applicable), I-9 Employment Eligibility Verification, E-Verify, medical clearances, and state-specific documentation.
  • Monitor expiring documents, annual renewals, and ongoing regulatory requirements to maintain continuous compliance.
  • Identify documentation deficiencies and collaborate with Operations to implement timely corrective actions.
  • Maintain complete, accurate, and audit-ready documentation within company systems.
  • Provide compliance guidance to internal teams regarding documentation requirements and regulatory processes.
  • Support internal and external audits by preparing documentation, validating records, and responding to audit requests.
  • Research routine compliance questions and escalate complex regulatory issues to senior team members.
  • Maintain compliance with HIPAA, organizational privacy standards, and company policies while safeguarding confidential information.
  • Contribute to continuous process improvement by identifying opportunities to improve compliance workflows and documentation quality.
  • Maintain current knowledge of regulatory updates, departmental procedures, and operational changes affecting assigned programs.

Ideal Candidate Will Possess:

  • 1–2 years of experience in healthcare operations, onboarding, compliance, quality assurance, medical records, or administrative support preferred.
  • Experience reviewing confidential documentation with a high degree of accuracy.
  • Interest in learning and applying Department of Health (DOH), Department of Labor (DOL), Medicaid, payer, and state-specific regulatory requirements.
  • Strong attention to detail with the ability to identify documentation discrepancies and compliance risks.
  • Excellent organizational, analytical, and time management skills.
  • Strong written and verbal communication skills.
  • Ability to interpret and consistently apply established policies, procedures, and regulatory guidance.
  • Ability to work in a fast-paced, technology-driven environment while managing multiple priorities.
  • Demonstrates accountability, professionalism, adaptability, and continuous learning.
  • Maintains strict adherence to HIPAA, organizational confidentiality standards, and regulatory requirements.
  • Positive, service-oriented attitude with strong customer focus.
  • Exceptional attention to detail and organizational skills.
  • Ability to prioritize multiple assignments while meeting deadlines.
  • Strong analytical and critical thinking abilities.
  • Excellent verbal and written communication skills.

  • Comfortable learning new regulations, technology platforms, and operational processes.

Nice-to-Haves:   

  • Associate's degree preferred; equivalent work experience considered.
  • 3 + years of experience in healthcare operations, compliance, onboarding, quality assurance, medical records, or related administrative functions. 
  • Bilingual in Spanish or other languages desired   
  • Experience with CRMs or Workforce Technology

At FreedomCare, base pay is one part of our total compensation package and is determined within a range. This provides our employees with the opportunity to professionally grow and develop within a role. The base pay range for this role is between $23.00 and $25.00 an hour at the commencement of your first year of employment. Compensation decisions are dependent upon a variety of factors which may include, but are not limited to: skill set, years of relevant experience, education, location, and licensure/certifications.
