Job Summary:


We are seeking a highly skilled Senior Executive Assistant to provide strategic and operational support to the R&D Organization reporting directly to the Senior Vice President of Engineering (SVP, Engineering). This role requires a proactive and detail-oriented professional who thrives in a fast-paced, cross-functional environment. The ideal candidate will be responsible for managing executive priorities, facilitating communication across departments, and ensuring the smooth execution of key business initiatives.


The Senior Executive Assistant will play a critical role in enhancing productivity, streamlining operations, and supporting strategic decision-making. This is an exciting opportunity for a high-performing EA who is adept at handling complex tasks, maintaining confidentiality, and leveraging AI-driven tools to improve efficiency.


Responsibilities:


Email & Calendar Management


Daily calendar management, including proactive adjustments for changing priorities. Inbox triage and email drafting/responding. Prepare agendas and take detailed notes during key meetings, ensuring action items are well-documented and followed through. Ensure the CPO and R&D leaders have all necessary briefing materials before meetings. Manage complex scheduling across multiple time zones, prioritizing business needs and executive availability, travel planning (domestic and international) with detailed itineraries. Utilize AI tools to assist with scheduling automation, meeting transcription, and summarization.


Project & Task Coordination

  • Track key product and engineering initiatives to ensure deadlines and milestones are met.

  • Assist in organizing and coordinating R&D projects to drive business impact.

  • Maintain and update action items for the CPO and R&D leaders, ensuring accountability and timely execution.


Stakeholder & Team Coordination

  • Serve as a liaison within the R&D organization, supporting communication between Product and Engineering teams.

  • Coordinate logistics for leadership team meetings, town halls, and offsite events.

  • Travel planning (domestic and international) with detailed itineraries.


Information & Document Management

  • Manage confidential files, contracts, and documents related to the R&D organization. Organize and maintain key reports, roadmaps, and product documentation. Assist in the preparation of board and executive presentations.

AI & Automation Assistance

  • Utilize AI tools to enhance productivity (e.g., scheduling automation, AI-driven meeting transcription or summarization, and workflow optimization).

  • Stay informed on emerging AI and automation trends to improve administrative and operational efficiencies.

Requirements and Preferred Experience:


Required:

  • 5+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting senior executives in a fast-paced environment.

  • Proven ability to support C-suite executives with confidentiality, discretion, and professionalism.

  • Strong project management skills with experience coordinating executive priorities. Excellent organizational skills, attention to detail, and ability to manage multiple priorities.

  • Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar), Microsoft Office, and productivity tools.

  • Experience working with AI-powered automation tools to enhance efficiency.

  • Exceptional written and verbal communication skills, with the ability to craft executive-level materials.

Preferred:

  • Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).

  • Experience in SaaS, Technology, or a high-growth startup environment.

  • Familiarity with project management tools. Understanding of product development and engineering processes to support the CPO and R&D leaders effectively.

Compensation:

$94,800 – $118,000

On target ranges above include base plus a portion of variable compensation that is earned based on company and individual performance.

The final compensation will be determined by a number of factors such as qualifications, expertise, and the candidate’s geographical location.
