Job Summary
Harvard Pilgrim Health Care Institute (HPHCI) is currently seeking a highly motivated, action-oriented, and resourceful Senior Project Coordinator to join the Division of Health Policy and Insurance Research (HPI). HPI sits within Harvard Medical School’s Department of Population Medicine (www.populationmedicine.org), and studies effects of high-cost medical care (including consumer-directed health plans and high-deductible insurance), pharmaceutical policies, health insurance innovations (such as value-based insurance designs), personalized medicine, delivery system changes, opioid policy, physician workforce distribution, behavioral interventions, and cost-quality trade-offs. Our mission is to produce rigorous evidence and build research capacity to inform policies and system innovations that improve health outcomes, especially among vulnerable populations. The diversity of HPI’s portfolio affords opportunities for team members to work on a wide-range of public health issues, including the COVID-19 pandemic.Reporting to HPI’s Senior Project Manager, the Senior Project Coordinator will lead the division’s pre award grant submission process, support ongoing IRB portfolio management, and provide some day to day post award administrative support. The role will also be responsible for drafting budgets, maintaining proposal timelines, tracking key deliverables, and ensuring that templates and SOP repositories remain current and accurate. This position requires excellent attention-to-detail and communication skills and comfort working with internal and external investigators, funders, and project management teams. It is an ideal opportunity for a candidate with experience in grants administration who thrives in a collaborative research environment.
Job Description
Key Responsibilities/Duties – what you will be doing
- Lead the pre‑award grant submission process for the division, including developing budgets, coordinating timelines, preparing and assembling administrative components, and ensuring compliance with sponsor and institutional requirements. Use risk‑management principles to identify and address issues proactively.
- Maintain and update grant‑related templates, SOPs, and process documentation.
- Support faculty in identifying new funding opportunities aligned with division priorities.
- Support IRB management, including preparation, submission, and tracking of IRB applications, amendments, and continuing reviews.
- Serve as a primary liaison between investigators, internal and external collaborators, and the Office of Sponsored Programs throughout the proposal process. Coordinate communication with external partners.
- Provide day‑to‑day post‑award support for research projects at the direction of the Senior Project Manager, including vendor set up, document preparation, and assisting with administrative tasks.

Qualifications – what you need to perform the job
EDUCATION, CERTIFICATION AND LICENSURE:
- Bachelor's degree or equivalent experience required.
EXPERIENCE:
- Bachelor's degree or equivalent experience required.
- Previous experience with grant proposal preparation and submission is strongly preferred.
- Understanding of healthcare organizations, academic organizations, public health, or research operations is beneficial.
SKILL REQUIREMENTS:
- Able to work independently with excellent judgment, prioritize multiple tasks, and meet deadlines with minimal supervision.
- Excellent attention-to-detail.
- Strong interpersonal and communication skills, including experience collaborating with senior staff, investigators, and external stakeholders.
- Solid understanding of a research environment, including IRB submissions and grant preparation.
- Proficiency with Microsoft Word, Excel, Power Point, and other desktop tools.
- Demonstrates resilience, flexibility, collaboration, and innovation.
WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS:
- Must be able to work under normal office conditions and work from home as required.
- Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations.
- May be required to work additional hours beyond standard work schedule.
Salary Range
$68,564.94 -$102,847.40Compensation & Total Rewards Overview
The annual base salary range provided for this position represents a range of salaries for this role and similar roles across the organization. The actual salary for this position will be determined by several factors, including the scope and complexity of the role; the skills, education, training, credentials, and experience of the candidate; as well as internal equity. As part of our comprehensive total rewards program, colleagues are also eligible for variable pay. Eligibility for any bonus, commission, benefits, or any other form of compensation and benefits remains in the Company's sole discretion and may be modified at the Company’s sole discretion, consistent with the law.
