This is a remote position.

The HR & Operations Coordinator supports day-to-day HR and operational processes across a remote organization. The position is responsible for maintaining accurate records, coordinating performance reviews, conducting candidate interviews, supporting payroll preparation, managing recurring HR activities, and ensuring operational follow-ups are completed.

This role communicates directly with contractors, candidates, clients, managers, and internal departments in both English and Spanish. Recruitment is an important part of the position, particularly interviews and candidate coordination, but it is not the role’s exclusive focus.

Position Scope

The position supports approximately:

  • Around 50-100 active contractors.
  • 10-50 active clients.
  • 5-20 performance reviews during an average month.

Performance-review volume may vary based on first-month, third-month, sixth-month, annual, and performance-improvement review schedules.

Key Responsibilities
HR Operations and Contractor Management
  • Coordinate contractor onboarding and required documentation.
  • Maintain accurate contractor, contract, attendance, training, and HR records.
  • Track absences, schedule changes, applicable bonuses, birthdays, work anniversaries, and recognition activities.
  • Support monthly payroll preparation by gathering and validating required information.
  • Coordinate training activities and related follow-ups.
  • Support contractor relations and internal HR communications.
  • Handle confidential HR, payroll, candidate, client, and performance information appropriately.
Performance Reviews and Client Feedback
  • Coordinate first-month, third-month, sixth-month, and annual performance reviews.
  • Schedule and facilitate performance-review meetings with contractors, clients, managers, and QA representatives.
  • Communicate directly with clients to collect and clarify contractor feedback.
  • Prepare meeting summaries, performance documentation, and follow-up communications.
  • Track pending reviews, action items, improvement areas, and deadlines.
  • Support Performance Improvement Plans and other performance-related processes.
  • Escalate serious performance concerns or matters requiring disciplinary action to management.
Recruitment and Interviews
  • Support job posting, candidate screening, assessments, interviews, and hiring coordination.
  • Conduct individual HR interviews and facilitate group interviews.
  • Evaluate candidates’ English communication, professional background, presentation, professionalism, and overall alignment with available opportunities.
  • Coordinate interviews with hiring managers, clients, and technical team members.
  • Prepare clear and objective interview notes.
  • Document candidate progress, outcomes, and decisions in Zoho Recruit.
  • Follow up with candidates regarding interviews, assessments, pending information, and next steps.
  • Present qualified candidates to clients and coordinate selection-process follow-ups.
Operations, Systems, and Data Management
  • Coordinate follow-ups between HR, Operations, QA, IT, Recruitment, and management.
  • Track recurring responsibilities, deadlines, and pending operational items.
  • Maintain internal procedures, SOPs, operational guides, and historical records.
  • Maintain accurate information across Zoho Recruit, Zoho CRM, spreadsheets, and other internal systems.
  • Perform data cleanup and correct incomplete, duplicated, or outdated records.
  • Assist with operational reports, recruitment metrics, and KPI tracking.
  • Identify repetitive or inefficient processes and recommend workflow improvements.
  • Support approved Zoho automations, CRM projects, and other operational initiatives.
Process Ownership and Management Approval

The coordinator independently owns the day-to-day coordination, documentation, and follow-up of:

  • Contractor onboarding.
  • Performance-review scheduling and documentation.
  • HR and group interviews.
  • Candidate and assessment follow-ups.
  • HR calendars, recurring activities, and operational trackers.
  • Contractor, candidate, client, and performance-record maintenance.
  • Payroll-support information and absence tracking.
  • Client feedback collection.
  • Training coordination and cross-departmental follow-ups.

Management approval is required for:

  • Final hiring decisions and contractor offers.
  • Compensation, budget, bonus, or payroll changes.
  • Disciplinary actions, PIP terms, or contract terminations.
  • Exceptions to schedules, policies, contracts, or established non-negotiables.
  • Final job descriptions and recruitment budgets.
  • Major workflow, automation, system-permission, or policy changes.
  • Client contract, service-scope, or financial commitments.

The coordinator is responsible for gathering information, maintaining accurate documentation, recommending next steps, and keeping processes moving while escalating decisions outside the role’s authority.



Requirements
  • Minimum of three years of relevant experience in HR Operations, Human Resources, Operations Coordination, Recruitment Coordination, or a similar role.
  • Four or more years of relevant experience preferred.
  • C1 or advanced professional English proficiency.
  • Strong professional communication skills in Spanish.
  • Ability to communicate directly and professionally with English-speaking clients through email and virtual meetings.
  • Hands-on experience conducting candidate interviews.
  • Experience coordinating performance reviews and maintaining performance documentation.
  • Strong organizational skills and exceptional attention to detail.
  • Experience working with an HRIS, ATS, CRM, or similar business-management system.
  • Comfortable working with spreadsheets, reports, operational data, and confidential records.
  • Ability to manage multiple recurring responsibilities, deadlines, and follow-ups.
  • Strong written communication, documentation, and problem-solving skills.
  • Ability to work independently and recognize when management approval is required.
Preferred Qualifications
  • Experience with Zoho Recruit, Zoho CRM, or other Zoho applications.
  • Experience supporting remote teams or independent contractors.
  • Experience with payroll preparation, onboarding, PIPs, HR reporting, or client feedback.
  • Experience facilitating group interviews or high-volume recruitment processes.
  • Experience creating SOPs or improving workflow automations.
  • Familiarity with assessment, time-tracking, or remote-work management platforms.
