We’re looking for a Senior Executive Assistant to partner with four members of our executive team. You’ll play a central role in keeping our leaders focused on the most important priorities—by managing their time, smoothing out communication across the company, and making sure meetings, travel, and events run without a hitch.
You won’t just keep calendars—you’ll keep our leaders working on the right things at the right time. We're looking for someone who thinks three steps ahead, builds lightweight systems to make work more efficient, and knows how to navigate competing requests with clarity and confidence.

What you’ll do- Own end-to-end calendar management for 3–4 executives, including prioritization, scheduling, buffers, and reflows
- Join select leadership and team meetings to capture notes, identify action items, and ensure follow-through
- Coordinate logistics for internal events, offsites, and external meetings—including agenda prep, travel, and communication
- Triage emails, manage expense approvals, and handle follow-up tasks across exec workflows
- Partner with leaders to streamline intake and build repeatable processes for time, priorities, and decision-making
- Act as a point of coordination across departments—especially during fast-moving planning cycles or launches
- Leverage AI tools to handle basics (scheduling, summarizing, travel research) and explore new use cases as they emerge
- You’ve supported senior executives in fast-paced, high-context environments—ideally in tech, VC, or PE-backed companies
- You know how to work with a range of leadership styles, build trust quickly, and adapt your approach while keeping things organized and moving forward
- You’re highly organized, detail-oriented, and excellent at keeping others accountable
- You’re proactive, solutions-oriented, and think in terms of systems—not just tasks
- You’re comfortable using (and experimenting with) AI tools to speed up repetitive workflows
- You follow through on what you commit to, and you communicate clearly when things shift
- Strong preference for candidates based in Pacific Time (PT) to best align with executive team schedules
- Fully own and prioritize calendars for your execs
- Run logistics for a major offsite or internal planning event
- Build systems that streamline intake, scheduling, and follow-up across your team
- Be the person your execs can’t imagine working without
We believe in transparency. Starting salary for this role is starting at $125,000 USD (or equivalent in local currency) depending on experience and subject to market rate adjustment.
