Job Summary & Responsibilities

Executive Assistant: 

Onto Innovation is looking for an experienced Executive Assistant on a Contract to Hire basis to support our Executive Leadership Team. The ideal candidate is someone who can navigate complex, and sensitive projects and adjust quickly within a fast-paced environment. This individual will embrace challenges with confidence, urgency, and positivity. You must have great communication skills, and the desire to drive initiatives to success. You must be highly detail-oriented, be able to multi-task, and mange initiative with reliability and follow-through. 

  

Responsibilities: 

  • The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

  • Ability to respond with appropriate levels of urgency to situations and events that require quick response or turnaround. 

  • Manage and prioritize a complex calendar with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments. 

  • Manage domestic and international travel itineraries.

  • Must have ability to analyze and respond appropriately to changing business needs & priorities to ensure that Executive Leadership requires.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Leadership Team, including those of a sensitive or confidential nature. 

  • Be available to respond to critical requests and emails outside of core work hours. 

  • Reconciling and submitting expense reports in a timely manner 

  • The Business Unit has several sites, some domestic travel may be required (< 5%)

Qualifications

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple competing priorities. 

  • 4+ years of demonstrated work experience in a fast-paced administrative capacity supporting senior management and senior level staff with strong strategic prioritization. 

  • Able to maintain a high level of integrity and discretion in handling confidential information. 

  • Ability to react with appropriate urgency to situations and requests. 

  • Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications 

  • Proficiency with MS Office including Outlook, Word, Excel and/or PowerPoint. 

  • Associate degree or equivalent experience.
