The VelocityEHS Senior Data Quality Specialist focuses on ensuring the highest degree of quality of documents and data entering the VelocityEHS Safety Data Sheet (SDS) Library, a key driver of Chemical/SDS Management customer experience. The person in this role is responsible for proactively identifying and resolving issues, overseeing and enhancing processes, and implementing improvements. Serving as a steward and subject matter expert for the SDS Library, the Data Quality Specialist closely monitors SDS workflows and data, compiles metrics and reports, and supports a continuous improvement ethos for the SDS "assembly line."
Primary Duties and Responsibilities
  • Maintain stringent quality control over the SDS Indexing process and SDS Library containing millions of documents by leveraging data quality best practices to design and maintain policies around data quality; analyze data in various stages to proactively monitor and identify inconsistencies, optimize data accuracy, correct errors, and propose and implement solutions to data quality problems.
  • Responsible for performing daily tasks to support the SDS "assembly line" and Content Management Application (CMA), with a particular focus on SDS Uploads, SDS indexing quality assurance (QA), batch management, and process improvement.
  • Understand end-to-end data flow and lifecycle to conduct maintenance on data quality rules that will ensure data is usable, timely, trustworthy and compliant.
  • Exemplify a continuous improvement, self-development, and customer-driven mindset by collaborating with stakeholders on identifying and implementing best practices, workflow improvements, and enhanced data quality rules to ensure adherence to processes and business rules and to increase efficiency and scalability.
  • Demonstrate thorough knowledge of the VelocityEHS SDS Library and of the SDS landscape in general, as well as an understanding of VelocityEHS Chemical Management products and services.
  • Proactively acquire and update SDSs using web-based research and automation tools, as well as via contact with manufacturers over the phone and email; assist with the development of annual strategy and goals.
  • Collect, document, and track various operational metrics and data; contribute to regular and ad hoc reporting on departmental performance and the SDS Library.
  • Coordinate with other operations teams to perform quality assurance, automate tasks, and boost SDS obtainment success rates in pursuit of exceeding customer expectations.
  • Responsible for ongoing research and maintenance of the manufacturer database.
  • Participate in regular and ad hoc meetings to scrutinize workflows, resolve issues, and develop and implement process improvements.
  • Responsible for ensuring all processes are accurately documented via SOPs and for creating and maintaining indexing and CMA training materials.
  • Troubleshoot, report, and escalate issues with CMA performance; participate in User Acceptance Testing (UAT) for new releases, ensuring thorough validation and seamless functionality before and after go-live.
  • Maintain a thorough understanding of internal systems and tools, including the Admin Tool, Salesforce, Workfront, Jira, and especially the CMA.
  • Responsible for the Manufacturer Submit Program, maintaining and processing SDSs received, exploring new opportunities for expanding this program, and escalating issues as needed.
  • Apply understanding of internal systems to troubleshoot and resolve customer issues and help desk tickets from customer-facing staff; proactively offer support by analyzing customer trends and data.
  • Conduct SDS Indexing, CMA, and SDS acquisition training for operations staff and vendors; provide vendors with ongoing feedback on performance.
  • Establish and manage ad hoc project timelines; collect, input, analyze, and report various project metrics throughout the project life cycle.
  • Assist with other tasks assigned by department leadership.

Minimum Skills and Qualifications
  • Bachelor's degree or equivalent work experience
  • 5+ years of data quality, quality assurance, operations, or project management/coordination experience in a B2B or SaaS organization
  • Proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Teams, SharePoint), advanced in Excel
  • Proficiency with Adobe Acrobat (PDF)
  • 2+ years working knowledge of relational databases and SQL Data Query Language (or similar)
  • Experience analyzing big data sets, finding and resolving issues with data quality to improve users' trust and confidence in the data products
  • Skilled at monitoring, analyzing, operationalizing, and continuously improving complex processes
  • Experience with Jira or similar issue tracking tools
  • Highly tech-savvy and proficient with web-based communication, automated and complex processes, collaboration tools, internet research, and other software
  • Ability to work independently with minimal supervision or as part of a team
  • Skilled at managing risks, uncertainties, and complex or ambiguous situations
  • Takes ownership of issues and follows through to completion
  • Detail and quality-oriented, analytical, methodical, persistent, and innovative
  • Ability to complete quality work within agreed-upon deadlines
  • Excellent written and verbal communication skills
  • Strong organization skills with the ability to handle a diverse and significant workload
  • Excellent collaboration skills, with the ability to work effectively both within the CX Operations team and cross-functionally
  • Proven commitment to deliver outstanding customer service
  • Ability to make sound well-informed decisions using data, analysis, and judgment
  • Experience with Agile development practices and user acceptance testing

Preferred Skills and Qualifications
  • Familiarity with Safety Data Sheets (SDS) and the Globally Harmonized System (GHS)
  • Advanced knowledge of relational databases and/or SQL Data Query Language (or similar)
  • Experience with Workfront or similar project management software

VelocityEHS is committed to competitive, fair, and equitable compensation practices by offering market-based salary ranges. The expected salary range for this position is between $72,505 and $97,300 USD (United States) or $74,350 and $92,300 CAD (Canada). We aim to hire between the minimum and midpoint of the salary range and offers at the maximum of the range are uncommon. The final offered salary will be based on candidate's proficiency in skill set, prior relevant experience, internal equity, market considerations, and other factors. This role is eligible for our comprehensive benefits package. This role is eligible for a Variable Pay Program.
