Position Overview: The Senior Associate, Client Advisory, serves as a key member of our team, dedicated to supporting a high-profile team of experienced Advisors, serving ultra-high-net-worth families. This role sits at the intersection of client service, private investment execution, and operational excellence.
This role is a key operational and client service partner to the team. Responsibilities include leading new client account openings and onboarding, coordinating online access, and communicating directly with clients and their external advisors regarding money movement, account activity, and daily operational matters. The position manages wires, journals, reconciliations, and tax documentation (including tax forms, statements, and K-1s), while also providing high-touch administrative support to client families and assisting the advisor team with expenses and other operational priorities.
Key Responsibilities:
Private Investment & Transaction Execution
- Independently complete and process private fund subscription documents on behalf of clients.
- Manage capital calls, distributions, and related transaction workflows.
- Coordinate wires, journals, transfers, and reconciliations in partnership with custodians and internal teams.
- Monitor and track investment documentation, deadlines, and funding requirements.
Client & Advisor Team Support
- Serve as an operational point of contact for the dedicated advisor team and their clients.
- Communicate directly with clients and their external professional advisors regarding investment documentation, money movement, and account maintenance.
- Support new account openings, onboarding processes, and online access setup.
- Assist with client tax documentation, including tax forms, statements, and K-1 coordination.
AML / KYC & Compliance Coordination
- Ensure proper completion and documentation of AML/KYC requirements.
- Coordinate with Legal & Compliance to maintain adherence to regulatory and firm standards.
Cross-Functional Collaboration
- Coordinate with custodians, counterparties, portfolio managers, research, client service teams, and Legal & Compliance to ensure seamless processing of transactions.
- Prioritize tasks based on urgency and time-sensitive client deadlines.
- Contribute to process improvement initiatives to enhance operational efficiency and scalability.

Qualifications:
- Minimum of one to three years of prior experience in investment operations, private fund administration, wealth management, or client service operations.
- Familiarity with private fund subscriptions, AML/KYC requirements, and transaction processing are strongly preferred.
- Strong proficiency in Microsoft Office, particularly Excel. Salesforce experience would be helpful.
- Bachelor’s degree in related field.
- Excellent verbal and written communication skills.

Pay Transparency:
Pathstone’s expected starting base compensation range for the position as of the time of this posting is $73,000 - $95,000 per year. The actual base compensation selected for this role will be set based on a variety of factors, including (but not limited to) experience, education, specialty and training. The successful candidate(s) may also be eligible for a discretionary bonus award.
