Job Purpose
As a Recruiting Coordinator (RC), you will work closely with a Recruiting Team, UX Researchers, tTeam lLeaders, and directly with clients to successfully execute UX research projects through the recruitment of research participants. In this role, you will be responsible for managing between 5-8 recruitment projects simultaneously. The RCis position reports to a PodTeam Lead.
Job Responsibilities
- Review initial project details (for example, a Research Plan) and create a recruitment plan
- Create and maintain project milestones and timelines for every project through completion
- Collaborate with clients to understand the target audience(s) we are seeking to recruit
- Write the participant screener to use in recruitment of participants, Review andor provide recommendations on the screener to be used in recruitment of research participantswhen provided
- Learn new tools and workflows to Uuse participant databases to find the right people based on the target audience(s)
- Craft recruitment plans outside of the participant database, should creative solutions be required, for studies with complex target audiences; This may involve coordination with other teams or vendors to source niche profiles
- Review potential participant responses to the screener to select the best research participants based on the project goals and client needs
- Be the main point of cContact for potential participants: utilize CRM tools and templates, field questions, manage participant expectations on time investment and all pertinent project details
- Own the to scheduling ofe a research sessions and all calendar coordination

- Create thorough and solution-oriented communication to clients
- Manage client expectations through proactive communication and planning to ensure team alignment
- Ensure all non-disclosures and consent forms are signed by participants prior to their participation
- Track participant attendance to each project
- Ensure timely delivery of participant incentives
- Report on project metrics at close-out to help the team understand the effectiveness of invites, screeners, and different recruit tactics or databases
- Build and maintain client and teammate relationships through solution-oriented communication
- Manage client expectations through proactive communication (up to multiple times a day) and planning to ensure team alignment
- Ability to take quick action on time sensitive issues in a new, fast, client-facing environment with lots of moving parts
- Collaborate and support other team members on projects, tasks, or timelines
- Provide relevant insights on processes and tools to other team members and/or clients
- Ability to manage between 5-8 recruitment projects simultaneously
Knowledge, Skills and Experience

- 1-2 years of experience with coordination, scheduling and managing of internal and external resources or similar role
- Preferred familiarity with market research studies, focus groups, UXR/user research, or design research
- Superior organizational skills, unflagging attention to detail and demonstrated commitment to the accuracy and completeness of information
- Service-oriented and responsive
- Ability to independently manage priorities and communications in a high volume, client-driven environment
- Excellent written and verbal communication skills and well-developed interpersonal skills
- Self-motivated and thrives in a fast-paced, growth-oriented, and time-critical environment
- Exceptional time management skills
- Quick learner and ability to multitask with minimal supervision
- Comfort learning new workflows across multiple tools
- Associate’s degree or equivalent experience
