This role reports to the Director, Global Workplace Experience & Operations.
Responsibilities
- Regional Workplace Oversight: Lead the day-to-day workplace operations across multiple leased and co-working offices in the assigned region, making sure everything runs efficiently and smoothly for everyone.
- Team Leadership & Development: Grow, mentor, and coach an expanding team of Office Operations Specialists, Office Managers, and Front Desk Coordinators. This includes fostering a culture of continuous learning and helping everyone on the team develop their skills to build a strong and resilient group.
- Strategic Workplace Evolution: Drive strategic workplace initiatives by using a spirit of experimentation and employee feedback to implement improvements, enhance the employee experience, and adapt spaces to our changing business needs.
- Budget & Vendor Management: Take ownership of the regional workplace operations budget. Manage a large portfolio of vendor relationships, from negotiating contracts and leading RFPs to setting clear KPIs and having regular QBRs to ensure we have the best partnerships.
- Safety, Compliance & Security: Develop and enforce workplace policies to ensure a safe, productive, and compliant work environment. Oversee workplace services like security, and partner with the Physical Security team to make sure our locations are safe, secure, and meet all local health and safety requirements.
- Cross-functional Partnership: Work closely with internal teams like IT, Security, People Ops, and Legal to make sure everyone has a seamless and compliant workplace experience.
- Issue Resolution & Communication: Be the go-to person for workplace issues and emergencies, resolving them quickly and effectively. Troubleshoot maintenance and security issues as they come up. Maintain open communication with landlords, building management, and internal/external partners. You'll also present at local all-hands meetings when needed.
- Data-Driven Operational Excellence: Drive operational excellence through a data-informed approach-tracking key workplace metrics such as space utilization, service ticket volume, and employee feedback to streamline regional workflows, improve the employee experience, and support long-term planning. Actively contribute to office operations meetings to identify and implement scalable process improvements.
- Moves, Adds, and Changes: Coordinate and execute all office moves, adds, and changes as necessary.
- Ad-Hoc Projects: Participate in and lead ad-hoc projects and programs for the Places team as needed.
Requirements
- Have 5+ years of experience leading office operations teams or similar, ideally in a fast-paced, high-growth environment.
- A people-first and service-minded leader with a professional demeanor that makes everyone feel welcome.
- Proven ability to manage vendors and projects, balancing competing priorities while still paying attention to the details.
- Strong budget management skills and the ability to make thoughtful, cost-effective decisions.
- Clear and confident communication skills across all levels and time zones.
- Highly organized, detail-oriented, and proactive-someone who spots what needs doing before anyone else does.
- The ability to thrive in fast-moving environments, stay calm under pressure, and love finding creative solutions.
- Experience collaborating cross-functionally with remote teams.
- The ability to lift deliveries/packages as necessary and travel as needed.
- Able to commit to being onsite full-time
