Receptionist

The Receptionist will be responsible for overseeing the reception area and will be the welcoming first point of contact for employees, clients, and visitors of athenahealth at our Global Headquarters located at 80 Guest Street, Boston, MA (Brighton/Boston Landing).  This position is a critical part of our employee and client engagement efforts and our physical security program.  The role requires a deep passion for customer service, a customer-centric mindset and attention to detail.  The Receptionist role for is responsible for creating a positive and lasting first impression of athena to many first-time visitors to our headquarters, including executives, clients, and new employees.  

The Receptionist will report to the Senior Manager, Global Security & Services. 

Job Responsibilities

  • Daily oversight of the reception area  

  • Warmly greeting all people arriving to our Headquarters including employees, clients, visitors, and executive leadership 

  • Collaborating with other executive assistants on visitor and VIP visits 

  • Coordinating and booking use of conference and huddle rooms as needed  

  • Monitoring employee requests for information and facilitating answers 

  • Manage our Visitor Management System and Policies  

  • Ensuring policy compliance for employee, visitor, and contractor access needs 

  • Communicating requests to our landlord’s property management team 

  • Answering the athenahealth main phoneline 

  • Assisting the athenaEnvironment and Security Management teams with other projects, as needed

Typical Qualifications

  • 5-7 years of Front Office, Executive Assistant or Project/Team Coordination experience 

  • Bachelor’s Degree preferred 

  • Excellent verbal and written communication skills  

  • Proficiency in Microsoft Systems including Outlook, TEAMS, Excel, Power Point, Word 

  • Understanding of ServiceNow (desired, but not required)  

  • Understanding of CCure Access Control and Envoy Visitor Management software (desired but not required.)  

  • Previous customer service experience strongly preferred 

  • Bilingual is a plus, but not required 

Knowledge & Skills:  

  • Ability to act as a model athenista (emotionally intelligent, dedicated, passionate, intellectually curious, fun, etc.) 

  • Outgoing, customer-centric mindset, and a high degree of and relationship building abilities 

  • Obsess over customers and the customer experience on site 

  • Strong interpersonal skills manifested in the ability to be a team player and promote a collegial atmosphere in the office 

  • Positive & professional energy, comfortable working and engaging with executives 

  • Serve as an essential link between athenahealth and the outside world 

  • General excitement to greet all people coming onsite including employees, clients, visitors, and senior leadership welcoming them to the company  

  • Excellent verbal and listening skills manifested in a calm, empathetic manner 

  • Ability to work under pressure 

  • Be reliable 

  • Be able to apply critical thinking to a variety of interpersonal and security situations.  

  • Ability to assess and evaluate situations effectively, including security issues and daily personnel and event problem-solving  

  • Ability to organize and prioritize work, and to independently generate solutions to new challenges, owning projects and managing them to completion 

  • Ability to create positive professional relationships with all levels of management within athenahealth as well as with outside vendors 

  • Ability to work with a wide variety of people 

  • Have a “can-do” attitude
