We are looking for a Receptionist/Administrative Assistant to be the first point of contact for patients and visitors at our healthcare clinic. You will manage front desk duties, assist with scheduling, and provide administrative support to the clinic team. The ideal candidate will be organized, friendly, and have excellent communication skills. This position plays an important role in ensuring the smooth day-to-day operations of the clinic.
Responsibilities:Front Desk Operations: Greet and check in patients, verify personal and insurance information, and direct them to the appropriate staff.
Appointment Scheduling: Schedule, reschedule, and confirm patient appointments. Ensure appointments are properly coordinated with the healthcare providers.
Answering Calls: Answer incoming phone calls, handle inquiries, and direct calls to the appropriate department or staff.
Patient Assistance: Provide patients with general information about the clinic, services offered, and assist with any administrative questions.
Documentation and Data Entry: Maintain patient records, input data into the clinic’s management system, and ensure all information is accurate and up-to-date.
Filing and Organizing: File patient charts, documents, and other administrative paperwork in a well-organized manner.
Billing and Insurance: Assist with insurance verification and general billing inquiries.
Administrative Support: Assist other clinic staff with daily administrative tasks, such as preparing reports, organizing office supplies, and handling mail.
Compliance: Ensure all patient interactions and records comply with HIPAA regulations and clinic policies.
High school diploma or equivalent.
Previous experience in a receptionist, administrative assistant, or healthcare-related role is preferred.
Excellent communication skills, both written and verbal.
Proficient with Microsoft Office Suite and other office software (e.g., Google Suite).
Ability to multitask, stay organized, and manage time efficiently.
Strong customer service skills and a friendly, professional demeanor.
Comfortable working with confidential patient information and complying with HIPAA regulations.
Experience with scheduling software or clinic management systems is a plus.
