POSITION SUMMARY

The Proposal Manager is responsible for leading and managing the development of compelling, compliant, and customer-focused proposals in response to RFPs, RFIs, and other client solicitations across Cryoport Systems. global life sciences business. This individual will collaborate cross-functionally with Business Development, Subject Matter Experts (SMEs), Operations, Logistics, Finance and Legal to ensure timely and accurate delivery of client-facing proposals aligned with Cryoport’s high standards of quality, innovation, and service.

PRIMARY RESPONSIBILITIES (Include but not limited to):

Lead Full Proposal Lifecycle. Strategy, go/no-go decisions:

Manage end-to-end proposal development process for RFPs, RFIs, and RFQs from initiation, qualification of quoting details, content development, cross-functional coordination, review, edit and submission. Lead proposal strategy sessions and facilitate go/no-go decisions with Business Development, and SMEs.

Cross-Functional Coordination:

Serve as the primary liaison across Commercial, Program Management, Operations, Quality, Regulatory, Legal, Finance, and IT teams to gather content and ensure alignment.

Strategic Proposal Planning:

Conduct internal strategy meetings to align on win themes, value propositions, proposal

structure, and compliance requirements.

Proposal Writing & Content Customization:

Author, tailor, and edit high-impact content for technical, operational, commercial, and quality sections in alignment with client expectations and Cryoport branding.

Quality Assurance & Compliance:

Ensure all proposals comply with internal quality standards, formatting requirements, and

applicable regulations (cGMP, GxP, ISO, etc.).

Pricing & Financial Inputs:

Partner with Finance and Pricing to incorporate cost models, quotations, and margin analysis into proposals. Manage annual pricing increases and communication.

Content Library Development:

Maintain and update a centralized knowledge base of reusable content, templates, boilerplate responses, service descriptions, and client references.

Data & Performance Analytics:

Build and maintain elevated commercial dashboards to monitor key metrics (e.g., quarterly bookings, close dates, revenue and conversion rates). Conduct ad-hoc data analysis to support leadership decisions and commercial strategy. Support forecasting and demand planning models in collaboration with Project Management, Finance and Operations.

Continuous Improvement & Metrics Tracking:

Monitor proposal KPIs (win rates, cycle time, client feedback) to identify areas for process improvement and reporting to leadership. Identify opportunities to streamline process workflows, particularly for temperature-controlled logistics, kitting manufacturing, storage services, and clinical trial supply management. Lead initiatives to automate manual operations, document best practices globally and improve commercial responsiveness. Document SOPs and train internal stakeholders on updated tools and processes.

Technology & Tools Integration:

Utilize Salesforce, NetSuite, and proposal software tools to manage proposal workflow and reporting dashboards.

Client & Sales Team Support:

Assist Business Development with proposal-related messaging, document presentation, and clarification responses.

Audit & Inspection Preparedness:

Support regulatory and client audits by maintaining version-controlled documentation and proposal archives

  • Team-building - Key stakeholder and collaborators are geographically dispersed. Getting results from ad hoc groups of disparate people is critical.

QUALIFICATIONS

  • Bachelor’s degree in Life Sciences, Business, Marketing, Communications, or a related field.
  • 5+ years of experience in proposal development, preferably in life sciences, logistics, or clinical trials.
  • High proficiency in Excel, Salesforce (or similar CRM), and business intelligence/reporting tools.
  • Experience working with RFx documents and responding to regulated-industry tenders.
  • Excellent writing, editing, and project management skills.
  • Strong attention to detail, time management, and ability to manage multiple priorities under tight deadlines.
  • Familiarity with Salesforce, NetSuite, or proposal automation tools is preferred.
  • Understanding of BioServices with cGMP storage, Kitting, Drug Packaging & Labeling,
  • Disposal, Clinical Sample and Logistics Management, and Biobanking is a strong advantage.
  • CDMO, CRO, and CMO experience required

Compensation

Up to $80,000/yr + bonus + stock + 401k + benefits
