THIS ROLE:
The Executive Associate (a brand new role) will directly support Erin Hill, ActBlue’s Executive Director, enabling her to prioritize her time and energy in leading ActBlue strategy by providing high-level administrative scheduling and coordination support.
WHAT YOU WILL DO:
- Manage the Executive Director’s daily and weekly calendar, including but not limited to: scheduling internal recurring team, staff, and one-on-one meetings, and coordinating with Communications & Marketing leads to schedule external speaking requests and press interviews
- Proactively manage the Executive Director’s monthly and quarterly calendars so they are synced to broader organization strategic priorities
- Prep the Executive Director for weekly commitments and meetings and ensure she has the relevant materials, IT-enabled equipment and logistics support
- Provide note-taking and logistics support to the Executive Director in weekly team and larger group meetings, with an eye towards executing on follow-up actions
- Oversee coordination of board recruitment and C-Level recruitment initiatives with partnership of executive search firm and People & Culture Team
- Plan and book the Executive Director’s work-related domestic travel arrangements, managing costs and expense reimbursement actions
- When needed, assist with Powerpoint presentations & minor copy editing for the Executive Director’s internal communications
- Perform other administrative and project duties as requested
WHAT YOU BRING:
- 1-3 years of prior work experience in an Executive Assistant or coordinator role working with senior leadership in a fast-paced environment
- Self-starter mentality: capable of working independently, but motivated by watching your work contribute to ActBlue’s goals and mission
- Problem-solver approach: can identify problems and figure out the best solution to work through them with limited guidance
- Clear and compassionate written and verbal communications skill set
- Strong organizational skills, with keen attention to detail and high fidelity to follow up & follow through actions
- Confidentiality with sensitive information
- Electoral experience, including volunteer or internships, is preferred
LOCATION AND COMPENSATION
ActBlue’s headquarters are located in Davis Square in Somerville, MA, just a few blocks from Boston’s MBTA Red Line train. This posting is for a full-time, in office, salaried position based in Somerville, MA, though we are open to discussion about remote work for the right candidate.
*In the short term: Due to COVID-19, we have shifted our entire staff to fully remote for the remainder of 2020. ActBlue is equipped to have you onboard and begin employment remotely from your home office if you are hired for this role. If working out of our ActBlue offices in Somerville long-term will entail relocation for you, we will work with you directly to make sure you’re able to relocate in a reasonable time frame once ActBlue resumes standard in-office work patterns.

Salary Range: $55,000 - $70, 000 depending on experience
