JOB SUMMARY
The Project Coordinator supports the project team by handling essential day-to-day administrative and coordination tasks across multiple construction and mission-critical projects. This role is ideal for an early-career professional who is organized, dependable, and eager to grow in a fast-paced technical environment.
Working closely with Project Managers and field teams, the Project Coordinator helps keep projects moving by managing communication, tracking documents, updating logs, scheduling meetings, and ensuring that information flows accurately and on time. Typical work includes preparing reports, assisting with RFIs and submittals, updating project schedules, supporting resource planning, and helping maintain internal project documentation.
Success in this role requires strong character, professionalism, and the ability to communicate clearly—whether by phone, email, or in writing. Candidates should be comfortable with MS Office, willing to learn new tools, and able to work both independently and as part of a remote team. The Project Coordinator will rely on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision.
This person will communicate and operate in line with organizational goals and values, as well as departmental objectives.
ESSENTIAL FUNCTIONS
Project Coordination (65%)
- Assist the project team with routine coordination tasks across construction and mission-critical projects.
- Support project kickoff activities, meeting scheduling, agenda preparation, and note-taking.
- Help manage project documentation, including RFIs, submittals, drawing revisions, logs, and distribution lists.
- Track action items, follow up with internal teams and subcontractors, and help ensure timely responses.
- Assist with basic schedule updates, milestone tracking, and internal reporting.
- Coordinate with procurement, warehouse, vendors, and field staff to support material and equipment logistics.
- Maintain accurate project folders and file structures in SharePoint, MS Teams, and other platforms.
- Support field teams by relaying information, updating trackers, and helping resolve small administrative gaps.
Administrative (25%)
- Prepare draft documents, presentations, meeting notes, and routine correspondence for project leadership.
- Assist with data entry, cost tracking sheets, project hours logs, and internal reporting tools.
- Help organize proposals, bid packages, and simple marketing materials when needed.
- Support project closeout activities by collecting documents, updating logs, and preparing turnover packages.
- Perform routine updates to spreadsheets, project dashboards, and internal forms.
- Maintain professional communication with clients, vendors, and subcontractors by phone and email.
- Provide general support to the Project Manager(s) and department leadership as assigned.
Technology, Digital Tools & AI-Enabled Efficiency (10%)
- Leverage AI-enabled and digital tools to enhance efficiency, reduce manual effort, and support consistent, high-quality work output.
- Identify opportunities to improve processes and demonstrate a continuous learning mindset, seeking out new technologies, skills, and methods that elevate individual and team performance.
- Adapt to emerging technologies and evolving digital workflows, actively supporting the integration and adoption of innovative tools across the organization.
Completion of assigned tasks and deliverables on time with strong attention to detail

POSITION REQUIREMENTS (INTERMEDIATE LEVEL FOR ALL THE FOLLOWING)
- Proficiency with MS Office Suite (Excel, Word, Outlook, PowerPoint) and ability to learn new software tools quickly.
- Strong written and verbal communication skills, including professional phone and email etiquette.
- Strong organizational ability with attention to detail and consistent follow-through.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines with moderate supervision.
- Reliable, accountable, and able to work productively in a remote or hybrid environment.
- Comfortable coordinating with clients, subcontractors, vendors, and internal teams.
- Ability to follow established processes and maintain accurate project documentation.
- Positive attitude, strong character, and willingness to learn; honorably separated veterans are encouraged to apply.
- Ability to work well as part of a project team and maintain composure in a fast-paced environment.
- Must be able to remain in a stationary position for extended periods and occasionally move equipment up to 25 pounds.

EDUCATION / EXPERIENCE REQUIREMENTS
- Bachelor’s degree preferred (Business, Construction Management, Engineering, or related field).
OR
- An equivalent combination of education and practical work experience.
- 0–3 years of relevant experience in project coordination, office administration, customer service, or similar roles.
- Experience in construction, technical environments, or mission-critical industries is a plus but not required.
- Military veterans with relevant leadership, logistics, or administrative experience are strongly encouraged to apply.
