Coordinates construction project administration for multiple Project Managers. Requires construction project coordination experience, familiarity with plans, specifications, and CSI codes, strong communication and organizational skills, proficiency with Procore and Microsoft Office, reliable transportation, and the ability to multitask independently.
Description
As a Project Coordinator, your main responsibility is to work closely with Project Managers to generate, maintain, track, and distribute project documentation. Your ability to be self-motivated, detailed, and adaptable will lend you to be successful within this role.
Responsibilities/Duties:
Project Coordinators ordinarily work with 2-4 Project Managers on various projects at one time
- Facilitate submittals, RFIs, subcontracts, and change orders as needed
- Managing record documentation, including saving and cataloging project paperwork, emailing contracts, uploading submittals, requesting and assembling closeout documents, etc.
- Maintain project logs of submittals, RFIs, subcontracts, and change orders
- Manage project contact directory of subcontractors and teams
- Track executed subcontractor contracts and review markups for PM approvals
- Assemble superintendent start-up paperwork for use on project site
- Ensure that Subcontractors return signed subcontracts in a timely manner, contacting delinquent Subcontractors to request agreements or Certificates of Insurance
- Assist with permits as needed
- Create municipal binders required for inspections
- Set up and maintain project folders in Procore and on the company server
- Collect project closeout documents from subcontractors and create Operation and Maintenance Manuals upon project completion
- Schedule meetings as requested
- Assist with invitation to bid tasks as needed
- Attend meetings and trainings as assigned
- Complete special projects as assigned
Requirements
- 2+ years of Project Coordination experience in a Construction Project Management setting
- Associate or Bachelor’s degree in Construction Management, Project Management, or Business Administration is preferred, but not required. Equivalent experience will be considered.
- Basic understanding of construction plan and specification format and CSI codes
- Excellent analytical and problem-solving abilities
- Exceptional written and verbal communication skills
- High level of confidentiality and professionalism when interacting with Owners/Clients
- Intermediate level understanding of Microsoft Office, Procore, and other PM software
- Ability to build and maintain strong working relationships
- Ability to effectively manage time, multi-task, and pay close attention to details
- Self-motivated professional with the ability to work independently and as part of a team
- Regularly required to move, sit, and bend for various hours throughout the day
- Reliable transportation
