We are seeking a Project Coordinator, Office of the CMO to join our team for this hybrid opportunity out of our Waltham, MA office.
Job Summary
The Project Coordinator for the Office of the CMO provides operational support and project management for multiple teams. These teams include the clinical workflow team, the customer relations team, and the Office of the CMO. This position is an internally-facing role but does involve customer and vendor interaction, under supervision, to facilitate the business of the Office of the CMO. It is cross-functional and requires coordinating projects autonomously. The position requires logistical and technical proficiency and the ability to perform data entry, analysis and reporting. The ideal candidate will be eager to learn the business and culture of the most common departments that they interact with (i.e. sales, marketing, customer success, business operations, finance and IT). This role will require part-time immersion rotations in some or all of these departments to learn, build relationships, share learnings and streamlined operations

This position offers a salary range of $76,800.00 to $81,800.00 (inclusive of variable compensation such as bonuses and incentives). Actual salaries will vary and may be above or below the range based on various factors, such as a candidate's location, skills, experience, and qualifications.

Duties and Responsibilities
- Track and report clinical and customer activities using Salesforce, OneNote, and similar tools.
- Support data analysis to improve clinical operations using Salesforce, Tableau, Excel, and OneNote.
- Coordinate cross-team projects and logistics between clinical, CMO office, and other departments.
- Prepare internal briefings for CMO meetings and major industry conferences.
- Draft and send agendas and emails to customers for key meetings and campaigns.
- Manage event logistics for executives and customers, assisting or leading as needed.
- Handle purchase orders, invoices, and vendor paperwork in Avid and Netsuite.
- Rotate through departments to learn processes and improve collaboration.
- Other duties as assigned and required.
Qualifications
- Bachelor's degree in Business Analytics, Mathematics, Economics/Finance, Information Technology, Communications, Marketing or related field (or evidence of working toward such a degree, or equivalent prior working experience)
- Demonstrated proficiency in project planning and coordination with organizational and logistical skills.
- Experience with customer relationship management tools, such as Salesforce.
- Proficiency with Microsoft Word, OneNote, PowerPoint, and Excel
- Excellent communication skills with the ability to work with internal stakeholders and customers alike.
- Willingness to learn and ability to adapt to rapidly changing priorities in a positive manner.
- Ability to function autonomously in a fast-paced environment.
