That’s where you come in! We are seeking a highly organized and detail-oriented Project Assistant to support our project team in all administrative and logistical aspects. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to manage multiple tasks simultaneously in a fast-paced environment. The Project Assistant will play a key role in ensuring the smooth execution of projects from initiation to completion. This is a temporary role to support customer implementation efforts through the end of the year.

What You’ll Do:

Administrative Support: Provide comprehensive administrative support to the project and implementation team, including scheduling meetings, preparing meeting agendas and minutes, and managing calendars.

Documentation and Reporting: Assist in the preparation, management, and maintenance of project documentation, including project plans, reports, presentations, and status updates. Ensure all documents are accurate and up-to-date.

Communication: Serve as a central point of contact for internal and external project stakeholders. Draft and distribute project-related correspondence and communications.

Task Coordination: Help monitor project timelines and track key milestones and deliverables. Follow up with team members to ensure tasks are completed on schedule.

Budget Support: Assist in tracking project expenses and maintaining a record of budget utilization.

Research: Conduct research as needed to support project goals and objectives.

Logistics: Coordinate logistics for project-related activities, such as workshops, events, and travel arrangements for the project team.

Data Management: Maintain project databases and filing systems, ensuring all information is organized and easily accessible.

Problem-Solving: Proactively identify potential issues or risks and escalate them as needed. Contribute to finding solutions to project challenges.

What You’ll Bring:
  • 3-5 years of experience in an administrative or project support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Asana, Trello, Jira).
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Problem-solving attitude and ability to thrive under pressure.

Expected Hourly Rate: $30-$35/hr

This is a temporary, hybrid role based out of Boston, MA or Chicago, IL. We are anticipating approximately 40 hours/week for 3 months.
