CMT is looking for a sharp, trustworthy, and adaptable Executive Support Specialist to support our Chief Technology Officer. This is a high-impact, highly visible role supporting one of the company’s most senior and technical leaders. You will help streamline and scale their effectiveness by managing a wide range of responsibilities—strategic and administrative—across internal operations, external communication, product initiatives, and intellectual property.

Responsibilities:

  • Use judgment and discretion to proactively manage the office of the CTO, and provide occasional support to the wider Senior Management team as needed
  • Serve as a trusted proxy for the CTO, including drafting and sending internal and external communications
  • Own full administrative support for the CTO, including inbox triage, document preparation, meeting notes, and project tracking
  • Manage a complex, dynamic calendar, balancing meetings, deep work time, and internal/external responsibilities
  • Plan and coordinate all domestic and international travel, including bookings, itineraries, and pre-reads
  • Resolve scheduling conflicts and ensure meetings are thoughtfully structured and well-prepared
  • Attend key meetings to take notes, track follow-ups, and drive accountability
  • Proactively monitor outstanding tasks and deadlines, and help manage them to closure
  • Organize and maintain documentation related to patents, IP, research, and legal processes
  • Act as a liaison with internal teams (engineering, product, legal, people, etc.) and external partners
  • Communicate via email, Slack, and text—responding flexibly to ensure workflows stay unblocked
  • Provide ad hoc support to the Senior Management Team, including calendar coordination and collaboration with People Operations on events, communications, or policy/process updates
  • Continuously look for ways to improve systems and processes using tools like Google Sheets, Notion, or emerging AI platforms/tools
  • Maintain a “no task is too small” mindset, balancing high-level responsibility with hands-on execution
  • Complete any additional tasks as they arise

Qualifications:

  • Bachelor’s degree or equivalent years of experience and/or certification in a related field
  • 7+ years of administrative experience, including 3+ years supporting C-suite or senior executives
  • Strong writing and verbal communication skills, with impeccable attention to detail
  • High level of discretion, judgment, and maturity—trusted to handle sensitive or confidential topics
  • Demonstrated ability to learn quickly and adapt in dynamic, high-trust environments
  • Excellent organizational skills and proactive time management—especially around conflicting priorities
  • Tech-savvy and resourceful—comfortable using or learning tools like Slack, Google Workspace, Notion, and exploring other tools to uplevel efficiency
  • A natural relationship-builder who is personable, credible, and respected by all levels of an organization
  • Proven ability to manage ambiguity, prioritize without much direction, and just "figure things out"
  • A collaborative spirit and no-ego approach—whether you’re booking a last-minute flight or flagging a strategic priority

Nice to Have:

  • Experience organizing patent, IP, or legal documents
  • Event planning or team operations background
  • Experience supporting highly technical leaders or founders
