Role Overview

We are hiring a detail‑obsessed Recruiting Coordinator to orchestrate every administrative step of the interview process here at Thoughtful. You will serve as the connective tissue between Talent Acquisition, our candidates and our internal stakeholders —owning interview logistics, candidate experience, treating process coordination as a "product" —so hiring managers and recruiters can focus on finding and closing exceptional Warriors.

What You’ll Do
  • Coordinate end‑to‑end interviews—owning requisition kick‑offs, calendar invites, panel builds, room/Zoom logistics, interviewer prep packets, and day‑of troubleshooting.
  • Deliver white‑glove candidate experience—proactively communicate timelines, travel, reimbursements, and next steps.
  • Maintain the ATS (Greenhouse) with pristine data: candidate statuses, interview feedback, and pre-hire tasks.
  • Reporting & Analytics— track essential recruiting and people operations metrics providing visibility to Talent Acquisition and Talent teams on regular cadence.
  • Special projects—support employer branding, career‑site updates, and People Ops process documentation.
Qualifications
  • 3–5 years in recruiting coordination, HR operations, or similar administrative roles within high‑growth tech or healthcare.
  • Mastery of ATS platforms (Lever, Greenhouse, or equivalent).
  • Calendar ninja: proven ability to manage complex, multi-location interview schedules across time zones.
  • Working knowledge of I‑9, E‑Verify, and basic employment law; comfortable handling confidential data.
  • Proficiency with Google Workspace, Notion, and Slack; Canva skills a plus for employer‑branding assets.
  • Meticulous attention to detail, process thinker, and relentless follow‑through.
  • Warm communicator who elevates candidate and employee experience.
