Position Overview:
We are seeking a detail-oriented and proactive Order Operations Analyst to join our dynamic team. This role will be crucial in ensuring the smooth and efficient processing of orders by developing and maintaining reports, identifying process inefficiencies, troubleshooting bottlenecks, and automating workflows to minimize delays in our order management system. You will work closely with various departments to enhance the performance of our order operations and streamline processes.
Key Responsibilities:
Reporting & Analysis:
Develop, maintain, and update reporting tools to track and analyze the efficiency of the order processing system.
Provide insights on key performance indicators (KPIs) such as non-linear order rates, aging order rate, time-to-resolution of aging orders.
Regularly review reports and data to identify trends, bottlenecks, and areas for improvement.
Utilize reporting and analysis to drive strategic decision making
Process Troubleshooting & Improvement:
Proactively identify and troubleshoot bottlenecks and operational gaps and weaknesses within the order management process.
Collaborate with cross-functional teams to resolve issues, ensuring minimal disruption to order processing.
Recommend and implement process improvements to optimize order flow and minimize delays.
Workflow Automation:
Design, implement, and maintain automation solutions to streamline order processing workflows.
Focus on minimizing manual intervention by automating routine tasks and handling orders that get "stuck" in the system.
Ensure that automated workflows align with the business needs and improve operational efficiency.
Collaboration & Support:
Work closely with customer experience, engineering, operations, and logistics teams to ensure smooth communication and timely resolution of operational issues.
Own day-to-day performance management, including escalations, process clarifications, and alignment on SLAs to ensure timely and accurate order processing.
Drive continuous improvement by identifying workflow gaps and providing enablement resources
Continuous Improvement:
Regularly review and enhance existing reporting and automation systems to align with evolving business goals.
Stay updated on industry best practices and emerging tools/technologies that can improve order management efficiency.
Qualifications:
Bachelor’s degree in Business, Operations, Supply Chain, or a related field.
3-5 years of experience in order operations, business analysis, or a similar role.
Strong analytical skills with proficiency in Excel, SQL, and/or other reporting and data analysis tools.
Understanding of data visualization tools like Looker, Power BI or Tableau is a plus.
Experience with order management systems (OMS) and workflow automation tools.
Ability to troubleshoot operational issues and identify opportunities for improvement.
Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
Self-motivated with strong attention to detail and problem-solving abilities.
Intellectual curiosity and research abilities.
Preferred Skills:
Familiarity with enterprise resource planning (ERP) systems or supply chain management software.
Experience with process mapping and process improvement methodologies (e.g., Lean, Six Sigma) is a plus.
