Overview:
The Facilities Supervisor reports directly to the Director of Operations and oversees the Facilities Department with general operations of over 240,000ft² of commercial Class A office space located at the world headquarters in Cambridge, MA. This individual will also have the unique opportunity to work with and travel to our New York City and Washington, D. C. area offices, which each span approximately 10,000ft. Additionally, we are in the process of building out a new world-class 420,000 ft² Global headquarters at a premiere office building in Boston, and this person will be a key contributor to our office move and operational duties starting in early 2024. While no day is the same, you can expect to allocate your time across the following functions:
- 35% People Management – training, coaching, delegation, and oversight
- 25% Work Order Management – creation, input, follow-up
- 10% Daily Inspections – property walkthrough
- 10% Vendor Management – contract negotiations and management
- 10% Meetings/Planning – health, fire/life safety programs
- 10% Internal Credentials and Processing – badges, building access, shipping/receiving
Responsibilities:
- Perform daily inspections to ensure a safe, clean, productive work environment
- Create and maintain accurate documents, including floor plans, equipment maintenance, work requests, shipping & receiving
- Create and follow-up on corrective work orders as necessary
- Support work order management for in house staff and vendors as necessary
- Ability to delegate and oversee tasks of peers; provide assistance and training to co-workers
- Negotiate contracts with vendors and contractors
- Liaise with building landlord, security, parking and janitorial staff, as well as outside vendors.
- Basic understanding of construction drawings
- Assist with Security & Fire/Life safety programs
- Assist with maintenance of phone system, access control, and video conferencing systems
- Assist with office moves and new employee workspace set ups
- Provide support before, during and after a critical/emergency event
- Support facility soft services such as meeting preparation, conference room reservations, food services, parking, vending and site access coordination
- Assist with corporate events, which can take place outside of regular business hours - on/off site
- Assist in the development and management of operational budgets; continuously identify cost saving opportunities
- Coordinate efforts with other departments including Administration, Marketing, and IT
- Function occasionally as point of contact for ownership and senior management
- Travel to NY and VA office Monthly
- Other assigned tasks as required
Qualifications:
- Bachelor’s degree
- 7+ years corporate property management or facilities experience preferred
- Experience managing people and/or a team, along with relationships of various levels of management
- Valid, clean driver’s license in Massachusetts is required
- This position requires exerting up to 40 pounds of force in order to lift, carry, pull or remove objects
- Advanced knowledge in Microsoft Office (specifically Excel and Word) and ability to use a work order system is required
- Ability to work flexible hours, and weekends if needed
