About MassMutual Strategic Distributors (MMSD):
We have had great success in recent years distributing our annuity and life-LTC combination products through our financial institution relationships. To further this success, we must evolve our strategy to reach more customers where they are, on their terms, with the products they need. For that reason, we are pleased to announce that MassMutual will be forming a dedicated third-party distribution channel, MassMutual Strategic Distributors (MMSD). MMSD will continue to build on the annuity and life-LTC combination strategy and expand the product solution offering to include life and disability insurance.
MMSD's strategy is to aggressively grow top line sales by expanding existing and establishing new partnerships with financial institutions (wire houses, banks, broker-dealers) and making significant investments in technology, sales, operations, marketing and product development. Our strategy will be driven by dedicated teams across the enterprise where we will prioritize a dynamic, agile, and entrepreneurial culture.
As an Executive Assistant for MMSD, you will be in a multi-faceted role utilizing a proactive approach to anticipate and fulfill the administrative needs of the MMSD leadership team and organization. The Executive Assistant will be involved in coordinating, planning, reporting and communicating, while managing and maintain calendar activity, coordinate travel, handle incoming telephone calls and emails and respond to information requests. This will include coordinating meetings and conferences with both internal and external sources, compiling information from various sources for routine inquiries and reports, analyzing data and preparing regularly scheduled reports. You must be a self-starter and have the ability to build strong relationships across the MassMutual organization, which is be critical to managing the needs of the organization.
The Impact
Your responsibilities as an Executive Assistant will include, but are not limited to:
Calendar management for assigned leaders: accept/decline, establish intimate knowledge of meeting requests in order to prioritize and make decisions on behalf of leaders, and proactively resolves calendar conflicts
Prepare and submit invoices/expenses; reconciles and manages department purchase card
Schedule meetings, conferences and events; interface with Executive Liaisons and Assistants to coordinate schedules, reserve appropriate conference rooms, catering orders, prepare room and required materials for meetings' needs
Prepare meeting agendas and take minutes at meetings to circulate action items for follow-up
Compose and maintain reports and documents with little input required
Assist with drafting high-level materials; review, edit, prepare initial drafts based on prior materials or leaders directions, format semi-final draft materials prepared by leaders (e.g. communications, letters, PowerPoint slides, Excel exhibits) to produce a polished final product
Provide program/project-related ad hoc support as needed
Proactively identify communication needs across the business, responding to inquiries (both written and verbal) as needed
Order supplies and company items needed by team employees
Proactively identify & submit new hire & facility, equipment, and system issues as needed
Create presentations, spreadsheets, and templates with limited assistance
Build and maintain systems and processes as needed to address business needs
Schedule detailed travel arrangements
Support with physical technology needs, including but not limited to all desktop, laptop, mobile, conference room AV and phone needs
Assist with general office needs as well as coordinating onboarding for new team members
Assist with larger group initiatives as needed
Partner with peers and colleagues to ensure adequate support for the overall team?
The Minimum Qualifications
Minimum of 2?years relevant experience as an Executive Administrator
Associates degree?
Demonstrated ability to effectively interact with executive level management both internally and with external clients
Maintain a high level of confidentiality
Able to produce ad hoc reporting for senior leaders
Deeply detail-oriented and possess strong communication and organizational skills
Proven ability to handle multiple tasks, react and think quickly
Self-starter with a strong sense of ownership and involvement
Desire to work as a true partner with the Executives and their team and can anticipate their needs
Collaborative approach, performs routine administrative support proactively and demonstrates openness to provide assistance as urgent situations or ad-hoc needs arise
Strong ability to work prioritize & work autonomously in a collaborative environment
Ability to make discretionary decisions within reason
Working knowledge of both Ariba and Concur system applications
Proficient experience working with advanced versions of Microsoft Office suite (Word, Excel, PowerPoint, etc..)
Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)
The Ideal Qualifications
Bachelor's Degree
7?years relevant experience as an Executive Administrator
Ability to leverage technology using (Concur, Ariba, Box.com)
