Job Description
Institutional Investments is a fast growing business line under Institutional Solutions seeking an experienced and high caliber Executive Assistant (EA) to provide senior level administrative support to Head of Institutional Investments and one or more managers on the leadership team. ?As an EA you will have the opportunity to be a key contributing partner in support a dynamic and a rapidly growing, client facing business unit where duties include full EA support along with managing client contact - conference calls, calendar management for multiple team members, onboarding new hires, travel and zoom arrangements, conference and remote event planning, industry participation, client contact systems, budgets etc.
The Impact
The ideal EA will be a strong, proactive, multi-tasker who will support the Head of Business on a daily basis while also providing other business support, while?working with a high level of independence, attention to detail striving for high quality product, accuracy and organization. Our EA will be an active partner on our Investment team helping holistically with client facing, business generation activities. ?
The duties include but are not limited to:
Provide administrative support to Head of Institutional Investments and one or more managers on the leadership team
Coordinate client calls for various firms/locations, Zoom happy hours eventually business trips working with executive level clients and prospects
Arrange department conference schedules; sponsorship payments, registrations, materials prep; hotel, transport as needed across the group working with other support members of team
Organize industry association participation hosted or attended by Head of Business or any member of the Leadership team
Plan ahead, organize and execute long distance high quality client entertainment and dinner events ?
Support to Regional adviser events working closely Marketing teams
Proactively manage mailings & announcements to clients and prospects
Client meeting prep ? prepare briefing package, CRM notes, slides etc.
Organize Team meetings: Planning and executing from start to finish all business team off-sites and extended group meetings
National Sales Conference: Off-Site or Virtual.? Work closely with Leadership Team for complete planning of venue, agenda, structure, multiple guest speaker invitations and coordination; interface with executive assistants to coordinate schedules; Arrange for slides
Coordinate with team to develop and prepare top quality meeting and offsite agendas
Provide program/project-related support as needed
Help on-board/train new members of the team to MassMutual provide logistical support
Serve as the systems liaison for the Department/Division and handles all computer requests for service, equipment or functionality

Minimum Qualifications
Minimum of 2 years? direct experience applicable working in a client facing business unit in a financial services firm
High School Diploma or equivalent
Knowledge of Lean Management (Huddle Boards, Operational Metrics, etc.)
Strong knowledge and ability to leverage technology - PowerPoint, Microsoft Office, Outlook, Concur, Ariba, Box.com; Skype; Zoom
Superior Organization, Planning and Intuitiveness skill set with a high level of organization, efficiency and competence with a good read on situations
Able to Multi-task and ?be flexibility with ability to prioritize effectively; stepping up as urgent business situations arise
Extraordinary attention to detail and accuracy with strong eye for aesthetics and quality of product
Highly collaborative team player that demonstrates a high level of professionalism with discretion befitting an EA
Experienced in working with executives and understanding the demands of their jobs
Ideal Qualifications
Bachelor?s Degree preferred
7 years Executive Assistant experience
CRM and Salesforce helpful
