PAY RANGE

The Target Pay Range for this position is $35.05-$42.84 hourly. The full Pay Range is $27.26-$50.63 hourly. hourly.

IMPACT YOU’LL MAKE:

As an Operations Support Specialist – Legal, you'll serve as a critical partner to BECU’s Legal Department and Office of General Counsel, helping a high-performing team operate with efficiency and precision. Working within a department that functions much like a "mini law firm," you'll coordinate essential legal operations, administrative processes, and business support activities that enable attorneys and legal leaders to focus on complex legal matters and strategic priorities. Your work will help ensure legal records, contracts, governance activities, and operational processes remain organized, accurate, and running smoothly. Through your attention to detail, exceptional organization, and proactive support, you'll play an important role in advancing operational excellence, mitigating risk, and supporting the business activities that ultimately impact our members. 

WHAT YOU’LL DO:

  • Legal Department Partnership:  Serve as a trusted operational support partner to the Legal Department and Office of General Counsel, helping attorneys and legal leaders stay organized, efficient, and focused on high-value legal work. 
  • Document Administration: Support legal operations through document drafting, formatting, filing, record maintenance, and administrative coordination activities. 
  • Records Management: Maintain legal records, stock certificate files, departmental resources, and other critical documents to ensure information remains organized, accurate, and accessible. 
  • SharePoint Administration: Manage and maintain Legal Department SharePoint sites, team resources, organizational information, and business documentation. 
  • Business Continuity Coordination: Serve as the division’s point of contact for BECU’s Business Continuity program and support continuity planning activities.
  • Complex Scheduling Coordination: Manage high-volume calendars and scheduling requests for attorneys and legal leadership, coordinating meetings across multiple business units and senior leadership teams. 
  • Meeting & Event Logistics: Coordinate meeting logistics, agendas, materials, travel arrangements, and departmental events to ensure seamless execution. 
  • Board Administration Support: Assist with board-related scheduling, document preparation, printing, logistics coordination, and governance activities.
  • Meeting Documentation: Capture detailed meeting notes, action items, and summaries, and distribute materials to support alignment, communication, and accountability.
  • Management Reporting Support: Compile, organize, and prepare information and materials used in management reporting and business reviews.
  • Invoice Processing & Expense Management: Process, track, reconcile, and manage legal department invoices and expenses, including coordination of outside counsel billing and high-volume invoice administration through Concur. 
  • Contract & Vendor Support: Assist with contract administration activities and coordinate with internal stakeholders and external partners to support legal and business operations.
  • Stakeholder Coordination: Build strong working relationships with legal leaders, business partners, outside counsel, and other stakeholders while supporting issue resolution, reporting, and operational processes.
  • CLM Implementation Support: Support the implementation of a new Contract Lifecycle Management (CLM) platform through data entry, document uploads, records coordination, and transition-related activities.
  • Project Coordination: Lead and support business unit projects by coordinating deliverables, managing timelines, and partnering with project managers or division leaders to achieve successful outcomes.
  • Additional Responsibilities: Contribute to special projects and other operational support activities as assigned to meet evolving business needs.

QUALIFICATIONS:

Minimum Qualifications:

  • Bachelor’s degree or equivalent related experience required.
  • Minimum two years of experience in related business operations or legal operations support role in a medium to large organization required. 
  • Experience and competency using the Microsoft Office suite required, including Word, Excel, PowerPoint, Access, and Visio.
