The Opportunity

We're looking for someone at the beginning of their career who is hungry to prove themselves and who believes that hard work gets noticed.  Someone who raises their hand before being asked says yes with a smile, and treats no task as beneath them because they understand that's exactly how trust and opportunity get built.

If you're a recent grad with more drive than resume, more curiosity than credentials, and you're ready to learn the stuff that makes an organization run, this position is your way in.

You might be asked to make the coffee, but you will also get exposure, learn how every department in a nonprofit operates, and build a reputation as the person people can count on.

Key Responsibilities

Reception & Front Office

You're the face of Good Sports. You'll greet visitors, manage calls and emails, route mail and deliveries, coordinate meeting rooms and catering, manage supply ordering, and keep our space looking sharp.

Administration & General Operations Support

You’ll keep our office running smoothly:

  • Scheduling & events: Manage organizational calendar and scheduling; support catering and office events
  • Vendor coordination: Serve as the main contact for the landlord, housekeeping, office equipment, and office service providers
  • Administrative support: Handle filing, scanning, records maintenance, mail and deliveries, signatures, expense reports, and corporate card reconciliation
  • Facilities: Be the first point of contact for office issues; keep the space clean, stocked, and tech-ready
  • Onboarding: Run new hire logistics and help new teammates feel welcome
  • Cross-training: Learn a few essential basics of HR, Finance, and IT support functions to provide backup when needed

Development Support

General administrative support including CRM data entry, donor acknowledgment letters and tax receipting, donor appeal mailing support, report and presentation support, research and data collection, and all other duties as may be assigned from time to time based on the needs of the business.

Program Support

General administrative support including CRM data entry, S/H and admin invoice collection, report and presentation support, research and data collection, and all other duties as may be assigned from time to time based on the needs of the business.

Other

·       All other duties as may be assigned within reasonable scope

·       Travel as necessary based on the needs of the business

·       May require occasional extended hours and while rare, weekends

·       This job description is subject to change based on the needs of the business

Requirements

·       Enthusiasm. You say yes first and figure out the how second. Nothing is “not your job”.

·       Comfort with ambiguity. Your day will look different every day, and you'll work with every single person on this team. If you need a fixed routine, this isn't it. If you thrive on variety, this is exactly it.

·       A fast learner, not a finished product. You'll pick up Microsoft Office (Outlook, Teams, SharePoint, Word, Excel, PowerPoint), our CRM (Odoo), and become the go-to for conference room tech. Comfort with Adobe and Claude AI is a plus, but we're hiring for trainability, not a checklist.

·       Discretion. You'll see financial and donor information. We need to trust you with it from day one.

·       The ability to juggle without dropping the ball, or the smile. You'll triage requests from multiple people at once. If that sounds stressful rather than energizing, this isn't your role.

·       A “no task too small” mindset. Not everything is urgent, but everything matters to someone. You take direction, and you follow through, every time.

·       Willingness to be onsite. This is an in-person role Tuesday–Thursday and remote Monday and Friday.  You may be occasionally be required to be onsite on a Monday or Friday to support special events or meetings.

·       Genuine warmth. You'll represent our mission to donors, partners, and visitors, and project positive energy even on hard days. You take feedback well, and you'll manage up, down, and across the org.

·       Tech Savvy. Intermediate proficiency with common workplace tools such as Outlook Email, Teams, Microsoft Office, and other collaboration platforms and software.

Benefits

·       Reporting: The Associate will report to the Vice President, Administration

Host to the first telephone call and one of the first general-purpose computers ever put into use, Boston is now a hub for biotechnology, robotics and artificial intelligence — though it’s also home to several B2B software giants. So it’s no surprise that the city consistently ranks among the greatest startup ecosystems in the world.

  • Major Tech Employers: Thermo Fisher Scientific, Toast, Klaviyo, HubSpot, DraftKings
  • Key Industries: Artificial intelligence, biotechnology, robotics, software, aerospace
  • Funding Landscape: $15.7 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Summit Partners, Volition Capital, Bain Capital Ventures, MassVentures, Highland Capital Partners
  • Research Centers and Universities: MIT, Harvard University, Boston College, Tufts University, Boston University, Northeastern University, Smithsonian Astrophysical Observatory, National Bureau of Economic Research, Broad Institute, Lowell Center for Space Science & Technology, National Emerging Infectious Diseases Laboratories
