What we’re looking for: 

Nexamp is seeking an Office Operations & Events Coordinator to oversee the day-to-day operations and appearance of our Boston office, coordinate vendors and building services, and serve as a welcoming point of contact for team members and visitors. In this role, you’ll help ensure the Boston office is welcoming, energetic, and exceptionally well run—and that every visitor leaves with an outstanding impression of Nexamp.

You’ll also plan and deliver engaging events and activities across Nexamp offices, manage related budgets and calendars, and contribute to office experience and engagement initiatives, including onboarding, communications, and celebrations. Reporting to the Team Member Engagement Lead, you’ll build strong relationships across the organization, partner with senior leadership, and turn creative ideas into practical programs that strengthen community, connection, and alignment with Nexamp’s mission and values.  This position is onsite 5 days a week in our Boston office, working our core hours (9 - 5:30), with periodic evening hours required (4 - 6 times per quarter).

What you’ll do:  

  • Oversee day-to-day Boston office operations and maintain a clean, well-stocked, and welcoming workplace.
  • Coordinate the ordering of office equipment, supplies, provisions, and snacks, and manage mail and outgoing business shipments.
  • Serve as the primary contact for vendors, building management, and service providers; coordinate maintenance requests, track office expenses, maintain operational records, and support reporting activities.
  • Manage the visitor system and welcome and assist guests and team members, while supporting senior leadership with on-site team events.
  • Identify opportunities to improve office processes and enhance the workplace experience, helping make the Boston office a place people genuinely want to come to—not simply where they have to work.
  • Own the cross-office events calendar, including lunches, coffee carts, happy hours, celebrations, and other activities; plan and execute Boston office events, including holiday parties and milestone celebrations, while supporting events in Chicago, DC, and NY.
  • Research, solicit, and implement creative ideas that promote connection, enjoyment, and engagement; track the office events budget, support the annual budget request process, and contribute to engagement initiatives including onboarding, day-one training, data analysis, health and wellness, and communications.

What you’ll bring: 

  • 1-3 years of experience working in a customer facing and/or office support role.
  • Experience planning and hosting events.
  • Proficiency with Microsoft products (Word, Excel, PowerPoint).
  • Demonstrated ability to build strong, collaborative relationships with leadership, team members, visitors, vendors, and service providers.
  • Ability to manage day-to-day office operations, event calendars, budgets, expenses, records, and reporting activities with organization and attention to detail.
  • Ability to welcome and assist visitors and team members while creating a positive workplace experience.
  • Ability to research ideas, identify opportunities for improvement, and turn creative concepts into practical programs and activities.
  • Office maintenance will sometimes require lifting heavy objects or boxes (up to 25lbs) and building furniture. 
  • Frequent walking laps around the three-story office to check cleanliness across kitchens, conference rooms and workspaces.

Compensation 

The hourly compensation range for this role at Nexamp is expected to be $31.00 - $36.00/hour. In addition to hourly rate, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual bonus programs based on individual and company performance, non-annual sales incentive plans, or other non-annual incentive plans). Additionally, you may be eligible to participate in the Company’s stock option plan. Actual hourly rate may vary based upon, but is not limited to, skills and qualifications, internal equity, performance, and geographic location.
