Challenge:
The main challenges you'll face are:
- Managing end‑to‑end office and facility operations as the first on‑site point of contact
- Balancing administrative, financial, and operational responsibilities in a fast‑paced environment
- Supporting employee experience while maintaining cost control, compliance, and safety standards
Key Responsibilities:
- Act as the primary point of contact for the Austin office, employees, vendors, landlord, and public/private bodies
- Manage office facilities and workplace safety , ensuring a secure and compliant work environment (Health & Safety)
- Oversee office administration including equipment, supplies, access management, licenses, and lease‑related topics
- Coordinate with IT on employee logistics (laptop returns, exchanges, IT equipment handovers)
- Manage vendor and supplier relationships , including contract negotiation, insurance, renewals, and service quality monitoring
- Track contract expirations , support renewals, and maintain accurate documentation
- Control and report on office cash‑flow , cost forecasts, and office budget
- Provide operational support to Finance , including check deposits and routine office‑based financial tasks
- Support senior management with administrative and coordination tasks
- Organize and support company events and employee experience initiatives (team buildings, All Hands, celebrations, training logistics)
- Manage meeting rooms, internal meetings, visitor reception, travel bookings, and official correspondence
- Handle day‑to‑day office issues, facility tickets, repairs, and continuous office improvements
- Carry out additional duties as required to support evolving business needs
Key Requirements:
Hard skills:
- Minimum 3+ years of experience in office management, administration, or facilities management
- Proven experience in office & facility operations in an on‑site environment
- Strong budget tracking, cost control, and reporting skills
- Excellent organizational, planning, and multitasking abilities
- Full professional proficiency in written and spoken English
Soft skills:
- Highly independent, proactive, and detail‑oriented
- Strong problem‑solving mindset with a hands‑on approach
- Excellent communication and interpersonal skills
