Role Description: Office & Employee Experience Coordinator

 

Role Purpose:

 

We are seeking a dynamic and personable Office & Employee Experience Coordinator to join our growing team. As the first point of contact for the company, you will possess outstanding communication skills with a bright and enthusiastic disposition. We are looking for someone with a pro-active, team spirited attitude that can bring enthusiasm and initiative to this expanding and successful company.

 

While primarily based in our main reception, the role will involve assistance with administration across the organization as needed and is an on-site role in our Boston office.


This role will report to the Senior Manager of People Operations.

Responsibilities:

  • Deliver an exceptional guest experience for Wasabi employees, customers and visitors.
  • Own the front reception area and help to be the face of the organization.
  • Act as the liaison between Wasabi and the building Management team.
  • Handle all guest and employee interactions with the highest level of professionalism and hospitality.
  • Sort daily mail/deliveries/couriers and disperse to appropriate owners.
  • Manage Fedex and UPS shipping requests for the company.
  • Book conference rooms for customer meetings, client visits, and interviews as needed.
  • Purchase office consumables as required; manage coffee/snack orders.
  • General coordination of office upkeep with the rest of the team which includes but is not limited to: stocking snacks and supplies, clearing conference rooms, maintaining employee common areas.
  • Coordinate ordering (when needed), set up and clean-up of lunch deliveries for meetings.
  • Assist and/or lead preparation and organization of internal company events.
  • Admin assistance within the People team and other teams where needed to ensure smooth running of the office.

Requirements:

  • 1-3 years of customer service and/or administrative experience.
  • Excellent interpersonal Communication skills, with a warm, welcoming and professional demeanor in all interactions.
  • Outstanding organizational skills, accuracy, and attention to detail plus strong multitasking skills.
  • Proficiency with Microsoft Office Suite; Word, Excel, PowerPoint, OneDrive, Mail, Calendar.
  • Have excellent writing, analytical and problem-solving skills.
  • Ability to work in the office and independently is a must.
  • Sense of humor required!
