Gupta Media was founded over 25 years ago on the idea that advertising could create huge leverage in our clients' businesses. Our early work was focused on the entertainment industry, specifically live events (Boston Calling, among others) and recorded music (Sony Music, Universal Music & Disney are all clients). We have dramatically grown our work with big brands (Amazon, Fender) and sports brands (Cleveland Cavaliers, Washington Commanders, Florida Panthers). We have a global client base with a growing local roster across B2B and B2C brands for campaign, content, and branding assignments.

Gupta Media is seeking an Office Manager for our Boston Headquarters. This role is central to how our office functions day to day, creating a welcoming, organized, and high-energy environment while owning the operations that keep our space running smoothly.

You’ll be the first face our clients, partners, and staff see when they walk through the door, while also serving as the go-to person for office logistics, vendors, and facilities.

Reception & Front-of-House Experience

  • Greet staff, clients, partners, and visitors and create a warm, professional first impression
  • Manage visitor coordination, including building logs, guest access, and directions
  • Handle incoming calls, screening, and routing messages as needed
  • Manage all incoming mail and packages (USPS, FedEx, UPS, couriers)

Office Operations & Facilities Management

  • Track office needs, vendor schedules, and recurring services
  • Take ownership of day-to-day office functionality and problem-solving
  • Own relationships with building management, maintenance teams, cleaners, and office vendors
  • Coordinate facility requests, repairs, and ongoing upkeep of the space
  • Manage office supply ordering and inventory across kitchens, conference rooms, and common areas
  • Oversee café, pantry, and common area stocking and organization
  • Ensure conference rooms and shared spaces are consistently clean, organized, and meeting-ready

Events & Internal Support

  • Support planning and setup for internal meetings, client presentations, and office events
  • Partner with the executive administrator and leadership team on office logistics and special projects
  • Continuously look for ways to improve office flow, organization, and employee experience

REQUIRED SKILLS & EXPERIENCE

  • 3+ years of experience in an Office Manager, Office Coordinator, or similar operations role (mid-level preferred)
  • Strong vendor coordination and facilities management experience
  • Ability to work independently while managing multiple priorities
  • Excellent organizational skills and attention to detail
  • Clear and professional communication (in person, email, and phone)
  • Proactive, solution-oriented mindset — you see issues and fix them
  • Comfortable in a fast-moving, collaborative agency environment
  • Pride in creating an office that feels welcoming, functional, and high-energy

Compensation
At Gupta Media, base salary is one component of our total compensation and benefits package. For this role, the anticipated base salary range is $60,000 - $95,000, depending on relevant experience, skills, and qualifications. This role is eligible to participate in our annual bonus plan, which is based on the company's performance.
