Business Title: Legal Operations Associate
Role Summary

The Legal Operations Associate will oversee day-to-day department operations including legal billing, assignment of legal service requests, eDiscovery tasks, and assisting with special projects.
Team Summary
This role will report to the legal operations lead and will work closely with all members of the Legal Team to support the company's commercial, corporate, regulatory, litigation, and compliance functions.
Essential Job Responsibilities
Legal Billing
- Process law firm invoices in Legal Tracker and review for compliance with athena’s billing guidelines.
- Serve as the primary point of contact for law firms regarding bills, accruals, and Legal Tracker troubleshooting.
- Coordinate with Accounts Payable to onboard vendors, create purchase orders, and monitor for timely payment.
eDiscovery
- Act as primary operational contact for our eDiscovery software, including issuing, tracking, and reporting legal holds and collections.
- Assist in the troubleshooting of technical issues and serve as escalation point within the Legal Team.
Legal Service Requests
- Assign new legal service requests to the appropriate Legal team member in ServiceNow.
- Serve as a liaison/point of contact for external teams and athenistas to connect them to the appropriate members of the Legal team.
Technology
- Become a SME on the Legal team’s technology tools and serve as the department’s primary point of contact for assistance (e.g., iManage, Legal Tracker, Relativity, etc.)
- Serve as administrator of Legal software subscriptions, including tracking renewals and updating user lists.
- Support optimization of current technology and rollout of new technology.
Metrics and Reporting
- Prepare monthly reports on key performance metrics and develop charts, graphs, and other supportive materials.
- Support efforts to gather and analyze data to drive process improvements.
Knowledge Management
- Maintain up-to-date and accurate centralized knowledge management resources, including Legal’s document management system and internal SharePoint site.
- Draft thorough process documentation and training materials.
Additional Job Responsibilities
- Contribute to problem-solving and continuous improvement initiatives within the Legal Dept.
- Provide occasional administrative support to leaders, including scheduling meetings, assisting with meeting technology, drafting materials (e.g., PowerPoints, emails), etc.
- Act as an extra set of hands, performing other special assignments, strategic projects, or duties, as needed.

- Highly organized, extremely detail-oriented, autonomous, efficient, and resourceful.
- Strong follow-through ensuring tasks are completed efficiently.
- Clever and creative problem-solving with the initiative to jump in and help.
- Quick learner with curiosity about new technology.
- Strong communications skills, including the ability to communicate clearly and concisely with a variety of audiences
- Foundational understanding of data and reporting.
- Commitment to continuous learning.
- Ability to maintain poise and a sense of humor in stressful situations.
- Willingness to expand the range of job responsibilities as needed, based on the evolution of the company and the role
What will set you apart:
- Experience working with data and reporting software and legal specific technology solutions, including AI functionality (e.g., Excel, Smartsheet, PowerBI, SharePoint, iManage, Legal Tracker, Relativity, and CLM).
- Knowledge of the eDiscovery lifecycle and processes.
- Specific experience involving data analysis, reporting, issue tracking, or process documentation.
- Familiarity with billing, invoicing, or basic accounting.
- Experience in the legal field.
