We are looking for a Legal Operations Associate to join our Legal team. Reporting to the Legal Operations Manager, this role will work closely with all members of the Legal Team to support the company's commercial, corporate, regulatory, litigation, and compliance attorneys, oversee day-to-day department operations, and manage projects within the department and the Company.   

 
Job Responsibilities  

  •  Identifying improvements to processes/procedures to increase overall efficiency

  • Partner with legal administrative staff and external groups for operations planning. This includes:

    • New hire onboarding

    • Internal team meetings and retreats including scheduling, meeting agendas, logistics, prep materials, and follow-up action items

    • Ensuring that team members have the tools and information needed to succeed

  • Maintain centralized resources that are updated and accurate, including our document archiving system and the internal Legal Team knowledge management portal  

  • Analyzing existing business and data processes and establishing new ones – you will design workflows, recommend innovative process improvements and seek automation opportunities.  

  • Building and maintaining knowledge of critical upstream/downstream systems and workflows  

  • Support the data collection and reporting of team metrics regarding legal support for the business  

  • Develop reports, charts, graphs and other supportive materials when requested by members of legal team  

  • Serve as primary operational contact for the team’s eDiscovery software, including primary responsibility for issuing, tracking and reporting of legal holds. Assist in the troubleshooting of technical issues and serve as escalation point within the Legal Team

  • Read, process and track all legal invoices, to ensure they are in accordance with billing guidelines

  • Work with Accounts Payable to ensure vendor payments are processed in a timely manner

  • Be the first line of defense and field questions from outside counsel regarding bills, Legal Tracker access, etc.

  • Work to build engagement and cohesion across the department and encourage teamwork and transparency

  • Serve as the central hub of the department to ensure that information is flowing up and down the chain appropriately and manage the flow of information so all deadlines are communicated and appropriate groups are looped in

  • Act as an extra set of hands to assist the legal team with outstanding projects or issues, and focusing on freeing attorneys from administrative or management tasks allowing them to dedicate more time for substantive legal work.

  • Provide administrative support to department leaders, including, scheduling meetings, processing expenses, assisting with meeting technology, taking meeting minutes, etc.

  • Assist with the intake requests for legal and compliance teams, logging, assigning and reporting on case data, as needed.

Typical Qualifications  

  • Bachelor’s degree required

  • 2+ years of hands-on operations experience in the areas of operations, tech operations, solutions management, or tech program management

  • Ability to work autonomously, manage multiple tasks simultaneously, and flourish in a high-stress environment

  • Be highly organized, extremely detail-oriented, autonomous, creative, efficient and resourceful with strong follow-through skills

  • Strong written and verbal communications skills, including the ability to communicate concisely to a variety of audiences

  • Familiarity with litigation discovery processes and experience navigating eDiscovery software and related technology

  • Experience working with internal and external department technology solutions (including Excel, Smartsheet, Vizio, Tableau, and legal management tools such as Legal Tracker and Ironclad)

  • Strong project management experience involving data analysis, reporting, timeline estimation, issue tracking, meeting facilitation, or process documentation

  • Demonstrated ability working with leadership in a fast-paced corporate environment
