 About the Opportunity

CCI Group is looking for an experienced Interpreting Operations Coordinator to provide remote independent contractor support to our Interpreting Department and senior operations team.

This opportunity is specifically intended for professionals located outside of the United States. Candidates may be based internationally but must be able to consistently provide support during CCI Group's primary operating hours of 9:00 AM to 5:00 PM Eastern Time, Monday through Friday.

If you know interpreting, you know there is rarely such a thing as a completely predictable day. An interpreter becomes unavailable. A client sends an urgent request. A hard-to-fill language lands in the queue. An invoice needs clarification. Three assignments need coverage at the same time. Somehow, all the pieces still need to come together accurately, professionally, and with a great experience for our clients and interpreting resources.

 That’s where you come in.

We’re looking for someone who already understands the language services industry and can independently support interpreting operations, including scheduling, interpreter recruitment, resource communication, documentation, and invoice review.

What You’ll Support
As an Interpreting Operations Coordinator, your responsibilities will include:

Coordinating interpreting assignments across multiple clients and projects.

  • Identifying and assigning qualified interpreters based on language, location, availability, credentials, experience, modality, and client-specific requirements.
  • Recruiting and sourcing new interpreters, particularly for hard-to-fill languages, geographic areas, and specialized assignments.
  • Communicating regularly with interpreters regarding availability, assignment details, confirmations, changes, documentation, and project requirements.
  • Maintaining accurate assignments, interpreter profiles, notes, documentation, and scheduling information within our scheduling platform.
  • Monitoring upcoming assignments and proactively identifying potential coverage issues.
  • Supporting senior team members with high-volume, complex, urgent, and specialized interpreting requests.
  • Assisting with interpreter onboarding and ensuring required documentation is collected and maintained.
  • Reviewing interpreter invoices and supporting documentation for accuracy and completeness.
  • Following up with interpreting resources regarding missing invoices, timesheets, verification of service, or other required documentation.
  • Maintaining accurate project and assignment records to support invoicing, reporting, and overall operational efficiency.
  • Communicating professionally and promptly with interpreters, clients, and CCI team members.
  • Assisting with last-minute cancellations, replacements, schedule changes, and other unexpected situations.
  • Collaborating with CCI's Project Management, Operations, Finance, Recruiting, and other functions as needed.
  • Identifying opportunities to improve workflows and processes instead of simply accepting, "That's how we've always done it."
 


Requirements

What We’re Looking For

Required Qualifications:

  • Minimum 3 years of professional experience in interpreting coordination, language services project management, interpreter scheduling, interpreting operations, or a closely related role.
  • Demonstrated experience scheduling and coordinating interpreters in a professional language services environment.
  • Hands-on experience with ScheduleInterpreter® is strongly preferred, or experience with a comparable interpreter scheduling or language services management platform.
  • Experience recruiting, sourcing, and maintaining relationships with freelance interpreters and language professionals.
  • Experience reviewing interpreter/vendor invoices and supporting service documentation.
  • Strong understanding of interpreting operations and the lifecycle of an interpreting assignment.
  • Professional working proficiency in English, written and spoken. This role communicates in English with clients, interpreters, and internal team members throughout the day, including time-sensitive and sometimes difficult conversations, so a high level of written clarity and professional tone is essential.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to independently manage multiple assignments, deadlines, priorities, and last-minute changes.
  • Strong problem-solving skills and the ability to take initiative.
  • Ability to consistently provide remote support during 9:00 AM to 5:00 PM U.S. Eastern Time, Monday through Friday, regardless of the contractor's local time zone.
  • Reliable high-speed internet access and the technology necessary to provide services remotely.
  • Must be located outside of the United States and able to provide services as an independent contractor in accordance with applicable requirements in their country of residence.

Even Better If You Have
  • Experience coordinating multiple types of interpreting services, including ASL, spoken-language interpreting, on-site interpreting, remote interpreting, simultaneous interpreting, and consecutive interpreting, is highly valued.
  • Experience supporting government, education, legal, healthcare, corporate, or conference interpreting programs is also a plus.
  • Bilingual or multilingual professionals are strongly encouraged to apply.
