Job Overview Summary
The Human Resources Specialist is responsible for general Human Resources administrative duties, with a primary focus of onboarding new employees and performing offboarding duties. This role ensures all necessary paperwork and procedures are complete for each new hire, as well as delivering excellent service to all employees in an HR capacity. The HR Specialist will work closely with the following teams; HR Operations, HRIS, Recruiting, HR Business Partners and HR Projects.
Job Duties & Responsibilities
- Manage and complete all pre-employment and onboarding tasks for processing new and returning employees when handed off from Recruitment once offer letter is signed.
- Primary point of contact for communications to new hires, IT, Recruiting, HRBP, Payroll, Corporate Training, and Managers for provisioning, scheduling, and required documents:
- Monitor HR onboarding specific email boxes and service channels
- Send welcome email through ATS and communicate with new hire on a regular cadence until start, responding to questions and requests.
- Escalate any new hire issues to Recruitment, HR Business Partner and/or hiring manager.
- Send any required documents including require agreements to new hires.
- Process background and reference checks, monitoring follow-up status as needed, ensuring compliance with Advarra’s hiring policies.
- Create and communicate training schedules for new hire orientation, including applicable information and handouts, to new hire, manager and other stakeholders on expectations.
- Respond to new hire questions and provide guidance through their first week, or on an as needed basis.
- Coordinate with QA, Corporate Training, and IT to ensure all members are in sync to deliver a great new hire orientation.
- Accurately and timely process new hires through HRIS, including data entry, and collection of required paperwork needed for first day.
- Process PF/NPS/ESI through government portals, or third-party vendor, staying compliant with changes, keeping the highest level of confidentiality.
- Coordinate and facilitate HR Overview for day one new hire onboarding; facilitate One Advarra new hire orientation presentation.
- Provide payroll with documentation needed for processing.
- Set up and maintain accurate new hire files timely, following file naming procedure and convention.
- Ensure compliance with Advarra policies and procedures and regulatory requirements.
- Research, recommend, and implement process improvements.
- Manage Advarra general employee Offboarding process timely, including exit interview information, communication with departing employee, and HRIS processing.
- Work with IT ensuring proper offboarding requests for the return of equipment and access disablement.
- Provide excellent customer service throughout the onboarding and offboarding processes.
- Assist with audit related requests and document gathering.
- Create and maintain documentation of duties and process workflow documents.
- Support other HR initiatives as needed.
Location
This role is open to candidates working in the Boston area, as a hybrid employee within our Wellesley office.
Basic Qualifications
- HS Diploma or equivalent required.
- 1 year prior experience with data entry in an HRIS system.
- Position requires a high level of responsibility regarding confidential information; must maintain confidentiality at all times.
- Must be comfortable independently evaluating a situation, exercising good judgment and discretion, and independently making decisions of significance.
- Organized with the ability to manage multiple projects and priorities in a fast-paced environment.
- Attention to detail to ensure quality and accuracy in updating multiple systems.
- Analytical, problem solving, and time management skills.
- Excellent communication and collaboration skills.
- Excellent interpersonal and diplomacy skills to handle a variety of requests from various areas and stakeholders.
- Flexible work style with a focus on providing exceptional service to all clients while adapting to changing priorities.
- Proficiency in MS Office applications and HRIS/ATS processing systems.
Preferred Qualifications
- Bachelor’s degree in related field preferred.
- 2+ years general HR experience preferred.
- Prior experience with UKG preferred.
- Comfort working in a geographically distributed team-based environment.
- Ability to handle stress and interact with others in a professional manner.
Physical and Mental Requirements
- Sit or stand for extended periods of time at stationary workstation
- Regularly carry, raise, and lower objects of up to 10 Lbs.
- Learn and comprehend basic instructions
- Focus and attention to tasks and responsibilities
- Verbal communication; listening and understanding, responding, and speaking
