An HR Assistant (Human Resources Assistant) provides administrative and operational support to the Human Resources department. Key Responsibilities

Human Resources Administration

  • Provide day-to-day administrative support to the HR department.
  • Maintain accurate and confidential employee records and personnel files.
  • Prepare HR documents, letters, forms, reports, and correspondence.
  • Update employee information in HR databases and systems.
  • Assist with HR policies, procedures, and administrative processes.
  • Maintain organized electronic and physical HR files.

Recruitment & Hiring

  • Assist with the recruitment and hiring process.
  • Post job vacancies on job boards and recruitment platforms.

  • Schedule interviews between candidates and hiring managers.
  • Communicate with candidates regarding interview schedules and next steps.
  • Maintain candidate records and recruitment trackers.
  • Assist with reference checks and pre-employment documentation where applicable.
  • Prepare employment paperwork for new hires.

Onboarding & Offboarding

  • Assist with new-employee onboarding and orientation.
  • Prepare onboarding packages, forms, and employment documents.
  • Ensure new-hire paperwork is completed and properly filed.
  • Coordinate orientation schedules and required training.
  • Assist with system access and equipment coordination.
  • Process employee departures and maintain appropriate offboarding documentation.
  • Conduct or coordinate exit interviews when required.

Employee Records & Data Management

  • Maintain accurate employee files and HR databases.
  • Enter and update employee information, including contact details, job information, and employment status.
  • Track attendance, leave, training, certifications, and other employee information.
  • Prepare employee reports and HR-related spreadsheets.
  • Ensure records are complete, accurate, and up to date.
  • Handle confidential information according to company policies and applicable requirements.

Payroll & Benefits Support

  • Assist with gathering and verifying information needed for payroll processing.
  • Maintain records related to attendance, leave, overtime, and employee changes.
  • Assist employees with basic payroll and benefits questions.
  • Coordinate benefits enrollment documentation.
  • Assist with maintaining benefits records and communicating changes to employees.
  • Report payroll or benefits discrepancies to the appropriate HR/payroll personnel.

Employee Relations Support

  • Serve as an initial point of contact for routine HR questions.
  • Communicate HR policies and procedures to employees.
  • Assist with employee engagement activities and internal events.
  • Schedule meetings between employees and HR representatives.
  • Document employee-related administrative matters as directed.
  • Maintain professionalism and confidentiality when handling sensitive situations.

Training & Development

  • Assist with scheduling employee training sessions.
  • Maintain training attendance and completion records.
  • Coordinate training materials and meeting arrangements.
  • Update employee training databases.
  • Assist HR management with professional development initiatives.

Attendance & Leave Administration

  • Maintain attendance and leave records.
  • Process vacation, sick leave, and other approved leave documentation.
  • Monitor leave requests and route them for appropriate approval.
  • Assist with tracking employee attendance and related documentation.

HR Reporting

  • Prepare routine HR reports and spreadsheets.
  • Track recruitment activity, employee turnover, attendance, training, and other HR metrics.
  • Assist with audits and HR record reviews.
  • Compile information for management presentations and reports.

Required Skills & Qualifications

  • High school diploma or equivalent; college degree or HR-related education preferred.
  • Previous administrative or HR experience preferred.
  • Excellent written and verbal communication skills.
